JOB DESCRIPTION
Position: Part-Time General Secretary, Park Academy (20 Hours) - No Benefits
Responsible to: Park Academy Coordinator
Primary Function: Under the supervision of the Park Academy Coordinator ensures the smooth and efficient operation of Park Academy
Qualifications: Substitute Certificate; experience in secretarial and/or educational fields
Typical Responsibilities:
Engages in those activities related to operation of a school day.
Arranges and maintains a schedule of all appointments for Program Coordinators, including intakes, IEP meetings, visitations, etc.
Prepares and processes student attendance information via District Software (Genesis).
Prepares forms, letters, and other documents; operates equipment incidental to office assignments.
Assists Park Academy Coordinator in the annual statewide assessment preparation and implementation.
Facilitates communication and troubleshoots with related departments (Technology, Health Office, Guidance, etc.).
Maintains school administrative and student records as assigned.
Assists in the organization and daily management of Extended School Year Programs operated by the district.
Prepares requisitions and keeps records of expenditures.
Processes all vouchers for Consultants providing services to Park Academy
Processes orders for classroom/office supplies and materials.
Assists in the preparation of the annual department budget.
Assists Program Coordinator(s) with inventory management.
Processes incoming correspondence.
Orients new and substitute teachers to office procedures.
Acts as receptionist; gives information, answers routine questions and complaints relating to Park Academy.
Performs such other duties as may be required due to emergency situations or upon direction of the Park Academy Coordinator or designee.
Coordinates delivered lunch program.
Oversees morning drop-off.
Coordinates community-based learning activities.
Any other duties as assigned by administration.
Qualifications:
Substitute Certificate required.
High school graduate supplemented by courses in education or business practices, typing, computers, etc.-- one to two years prior experience in similar work, preferred.
Ability to take direction from different supervisors and to be able to accomplish multiple concurrent tasks.
Ability to understand and follow oral and written directions and work independently.
Knowledge and ability to use correct business English, spelling, mathematics and bookkeeping.
Proven ability to maintain clerical records and prepare appropriate reports.
Highly skilled in the formatting and preparation of reports utilizing current software and other appropriate programs.
Working knowledge of office equipment, practices, and procedures.
Working knowledge of the operations and function of a school office and the requirements of recordkeeping.
Ability to prepare effective correspondence in routine matters and to maintain routine office management details with only general supervision.
Ability to make decisions in accordance with established policies and regulations.
Effective communication skills.
Good organizational skills and the ability to establish a structured work environment.
Ability to work through interruptions.
Ability to deal with public tactfully and courteously and to work harmoniously with other employees.
Maintain dignity, professionalism and confidentiality of assignment.
