The full-time, in-person, Paralegal supports the General Counsel and Assistant General Counsel in matters including contracting, litigation, real estate, and risk management.

Essential Functions

  • Performs comprehensive first-level review of contracts submitted to the Legal Department in accordance with established protocols and attorney guidance.

  • Gathers, organizes, summarizes, indexes, any missing contract information from various sources.

  • Monitors contract lifecycle, including drafting, negotiating, execution and retention of agreements, communicating with attorneys concerning action required in response to notifications and requests received.

  • Assists with entity management and compliance with various annual requirements including gathering and verifying accuracy of required information, preparing, and arranging for timely filing and payment of required fees for government filings.

  • Performs fact checking, gather documents, research, and respond to subpoenas, record requests, and various inquiries from internal and external sources.

  • Performs preliminary review of estate documentation in accordance with established protocols and attorney guidance.

  • Manages transactional due diligence and assists attorneys with completion of all closing matters.

  • Coordinates preparation, review, and completion of applications for Institute's insurance coverage.

  • Process requests for certificates of insurance.

  • Performs other duties assigned by the VP & General Counsel.

Minimum Requirements

  • Capacity to effectively manage details and time sensitive assignments; ability to organize and prioritize numerous tasks and complete them under time constraints; strong planning and project management skills.

  • Ability to communicate clearly and concisely, both orally and in writing.

  • Technological competency, including proficiency with Microsoft Office products (Word, Excel, etc.), Adobe, document and contract management, and redlining application programs.

  • Ability to recognize and anticipate procedural or other issues and proactively implement solutions.

  • Ability to maintain confidentiality, use discretion and demonstrate sound judgment.

  • Ability to work independently.

  • Able to work in the US legally without sponsorship.

Preferred Requirements

  • BA/BS Degree

  • Two years of law firm or in-house experience

  • Values being in a key support role to the Legal Department's attorneys.

  • Enjoys solving problems.

  • Excels at detail-oriented work.

  • Embraces technology to expedite and streamline workflow.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

This is a full-time position that primarily works from our downtown Chicago location. Hours typically fall between Monday and Friday, 8:00am- 4:30pm.

No travel is expected for this position.
