Overview

The Paralegal is responsible for providing paralegal and administrative support to the attorneys in the Legal Department with various matters including intake and processing of legal documents, with strict adherence to confidentiality and oriented to maximizing the effectiveness of the company's legal counsel.

Summary / Responsibilities:

  • Handle receipt, tracking and routing of Services of Process and other litigation filings received by the company to ensure timely handling by in-house counsel or outside counsel.

  • Manage responses to third-party subpoenas and information/document requests pursuant to existing protocols.

  • Locate and schedule staff who have been subpoenaed as witnesses in matters involving the company and as otherwise necessary.

  • Gather and prepare documents and information for litigation matters.

  • Communicate regularly with federal, state and local agencies, outside attorneys, human resources and operations personnel on legal matters.

  • Create, update and maintain databases and other legal resources for Legal Department use.

  • Provide litigation support, including assisting with responses to discovery requests and e-discovery and performing other duties in support of Legal Counsel and the Legal Department, as assigned.

  • Create new legal matters in the billing system, obtain needed information from outside counsel and others, and respond to internal and external inquiries about billing and payment issues

  • Provide administrative support to attorneys as directed including answering telephones, maintaining calendars and schedules, coordinating meetings, preparing expense reports and managing consequences.

  • Schedule, verify and participate as necessary in meetings and appointments including making travel arrangements and accommodations for attendees, preparing conference rooms and arranging meals.

  • Office duties as assigned including sending/receiving and distribution of emails; sort, distribute and respond to mail including interoffice mail; send certified mail and FedEx; screen calls; greet visitors; answer phones; set up and maintain file systems; frequently check out box and process work, etc.

  • Research and compile reports, proposals and presentation materials as needed.

  • Answer and screen calls and e-mails to the Legal Department for urgency, set priorities, take accurate messages and channel them to the proper contact individual.

  • Promptly and accurately perform all filing, creating files and maintaining file organization in the Law Department offices and file room.

  • Ability to maintain confidentiality.

  • Adherence to and compliance with information systems security is everyone's responsibility.

  • Perform other duties as assigned.

Qualifications:

Experience:

Three (3) to five (5) years of experience as an assistant supporting a company executive or attorneys.

Knowledge and Skills:

Proficiency with Microsoft Word, Excel, Power Point, Access, Visio and Outlook required.

Experience or knowledge in labor and employment laws preferred.

Proficiency with Corporation Service Company service of process system preferred.

Excellent leadership presentation and teamwork skills

Effective at delegation of responsibility and accountability to deadlines

Effective oral, written and interpersonal communication skills.

Education:

Associate's degree or above, or comparable experience

Paralegal certificate preferred.

Skills:

Able to manage multiple tasks while leading various initiatives.

Able to think beyond the immediate scope of the job and understand the larger business needs of the company.

Strong organizational skills, extremely detail-oriented and work well under tight time constraints.

Exercise proper judgment when matters should be escalated to internal counsel.

Client and customer service focused.

Strong computer skills required.

Microsoft Word, Adobe Professional, DocuSign, Excel, PowerPoint.

Excellent presentation and teamwork skills.

Effective oral, written and interpersonal communication skills.

Willingness to take on and master new skills/tasks as needed.
