Job Summary
Under supervision of the Administrative Assistant (DPD), as designated by the Director of Planning and Development, provides professional customer service and is the first point of contact to constituents, vendors and others conducting business at the City's municipal office building. This position requires a broad working knowledge of staff, city departments, services, programs and procedures for departments housed at the municipal office building. A professional, kind and polite demeanor is necessary, as well as excellent listening and problem solving skills.
Duties & Responsibilities
Greets customers the moment they walk to the counter. Inquires as to their needs and ascertains how they can be assisted.
Provides customers with forms and applications and directs customers to points of contact for the department that meets their needs.
Delivers accurate information in a clear and concise manor to both internal and external customers.
Provides entry-level trouble shooting and directs those issues to the proper department/person.
Assists customers with web based needs, including the navigation of City web pages and web-based tools.
Communicates with and maintains relationships with each department in the municipal office building to advise of customer needs and to stay informed of changed procedures and policy.
Takes a proactive approach to problem solving and follow up.
Provides clerical support to the Department of Planning and Development when required.
Performs other related duties as assigned.
Minimum Qualifications
High school diploma or equivalent with a minimum of two (2) years proven experience in a professional customer service role.
Working knowledge of Microsoft Office and ability to navigate City web pages.
Ability to conduct research quickly and efficiently and articulate effectively to meet the customer's needs.
Ability to multi-task work in a constantly changing and diverse environment.
Ability to communicate effectively and courteously orally and in writing.
Is self-motivated and possesses as positive attitude with a goal of 100% customer satisfaction.
Fluency in English and Spanish and ability to translate between both languages.
Must be able to perform all functions of the job.
Training Requirements
The term "limited" means that the successful candidate will perform the job for an undetermined length of time. The position may or may not become permanent.
