Job Description

Position Summary:

Assists in developing and/or supporting lines of communication between general managers and property owner services employees with owners and corporate departments. Supports properties in communicating with owners in a proactive, positive manner as well as provides assistance in resolving a variety of owner problems. Completes validation of all property IARA agreements and records and files in appropriate systems.

Position Responsibilities:

  • Rental Program Management Contracts Review and maintain contracts and necessary legal and tax documents for the participating rental units.

  • OPERA and Owner Relations (OR) Systems OPERA: Responsible for ending and actualizing contracts so that units are "live" in the system and training of the system. Responsible for training and maintaining of the system for use by the property.

  • Prepare monthly Entry/Exit Report, Unit Count Report and Legal Contract Report. Maintains Leisure Time Passport (LTP) Member List and Act 204 (TAT) Advertising Requirements on the Aqua-Aston Hospitality website.

  • Acts as a liaison between the property and Team Headquarters departments such as Accounting, Legal, and Sales.

  • Assists owners with accounting issues, reservations, etc.

  • Handle guest complaints.

  • Condo Letter (Newsletter) Review, edit, format, print and post Condo Letters (monthly/quarterly).

Position Requirements:

  • Must be able to speak, read, write, and understand the English language proficiently.

  • Ideally Japanese language skills, reading and writing is preferred but not required.

  • Minimum high school diploma or equivalent experience preferred.

Job Description Position Summary: Check in and check out guests, collect rent money, make guest and owner reservations and process all guest charges. Answer telephone switchboard and process calls and messages. Process all guest complaints to the appropriate personnel in order to maintain highest levels of guest satisfaction. Position Responsibilities: * Process guest check-in and check-out and collect rent money. Process credit cards as per Aqua-Aston Hospitality procedures. Responsible for accurate daily collection of money and preparing daily reports. * Answer property's incoming telephone switchboard and direct calls to appropriate person. Record guest telephone and other incidental charges as applicable. * Use computer to make reservations or check unit availability for guest or owner inquiries. * Prepare work orders for housekeeping and maintenance departments when problems are reported by a guest. Interface with Owner Relations and property management as necessary. As applicable follow up to make sure that problems have been resolved. * Perform clerical duties such as typing, filing, recording, mailing and computer data input processing. * Prepare daily rent receipt journal, deposit receipts, and other reports as required. Position Requirements: * One of more years' experience in customer service preferred. Previous hotel/resort experience in front desk helpful. * Must be able to speak, read, write and understand the English language. * Ability to stand for long periods of time. * Ability to work weekends, holidays and a flex shift as needed.
