Job Title: Outreach Coordinator

Roles & Responsibilities:

The Outreach coordinator's primary focus is to ensure that our community of members complete their preventive care exams and assist in scheduling those exams. Outreach will handle all outbound communications to our members via phone calls and mail correspondence including but not limited to Plan updates, Quality incentive letters, Birthday cards, etc. Outreach team will also be back-up to the MSR department and offer coverage/assistance whenever necessary.

  • Handles incoming telephone calls and answers questions for members and providers, and assists members in accessing all necessary covered and non-covered services in conjunction with plan of care.

  • Contacts members and engages in QA conversations/questions

  • Inquires if members had Preventive care exams.

  • Contacts providers to confirm appointments.

  • Faxes attestation /checklist to provider.

  • Updates member schedule status and documents in spreadsheet

  • Documents in eCare all scheduled appointments.

  • Checks eCare for Attestations received and update spreadsheet

  • Responsible for member outreach communications i.e. Quality incentive letters, monthly Birthday Card, I'm Sorry Cards.

  • Assists members in arranging appointments with physicians and other health care provider.

  • Coordinates and schedules pick up /drop off transportation to and from scheduled appointments.

  • Facilitates communication between members, subcontractors, providers and Care Managers.

  • Communicates effectively with members with special needs by utilizing mechanisms such as: Interpretation vendor, TTY (Tele braille, large prints Braille) talking adaptive equipment, etc.

  • Assists members with accessing translation services.

  • Provides plan information to new members, family members or other representatives.

  • Participates in special programs in response to program needs

Qualifications:

  • High School Diploma

  • Minimum 3 years job-related experience in healthcare/medical setting

  • Bi-lingual (English & Spanish, Russian or Cantonese/Mandarin)

  • Excellent communication skills and phone customer service

  • Basic computer literacy skills

VIEW JOBS 10/22/2018 12:00:00 AM 2019-01-20T00:00 Under the direction of the Director of Marketing Communications, and the Department Administrator, the Outreach Coordinator is responsible for maintaining and cultivating referral sources and opportunities to support the continued growth of Columbia Orthopedics. Referral sources are defined as anything that drives new patient volume: primary care physicians, corporations, schools, athletic trainers, physical therapy groups, etc. The Outreach Coordinator's responsibilities will also include oversight and coordination of outreach activities with partners in other CUMC departments, external contractors, and departmental faculty & staff. The Outreach Coordinator will be responsible for management of the department's CRM platform and data related to all outreach and relationship management activities. In addition, the Outreach Coordinator will assist department leadership in strategic planning related to marketing and outreach efforts. RESPONSIBILITIES: Promote Columbia Orthopedics services via relationship management outreach to existing referral sources Identify new referral opportunities and conduct primary outreach; Serve as primary administrative point of contact for external referral sources, including telephone contact, on-site visits, and presentation of marketing and informational materials Organize, facilitate, and staff outreach events Assesses satisfaction of referring physicians and patients and recommend changes based upon feedback Report on efficacy of outreach efforts to department leadership Participate in development of marketing strategy and promotional materials, including: campaign strategy, messaging, collateral material design and production, etc. Maintain up to date knowledge of market and competitors Performs other duties as assigned by direct supervisors and department administration Minimum Qualifications for Grade Applicant MUST meet these minimum qualifications to be considered an applicant Bachelor's degree or equivalent in education, training and experience, plus three years of related experience. Additional Position-Specific Minimum Qualifications Applicant MUST meet these minimum qualifications to be considered an applicant Demonstrated record of success coordinating and executing relationship management, professional services outreach, or sales campaigns that have met or exceeded goals Proficiency and experience with Salesforce or other leading CRM platform (CRM implementation, and/or is preferred) Experience with event planning/coordination and management of project logistics from conception to execution Ability to build strong working relationships with all levels of faculty and staff, both internally and externally Excellent verbal and written communication skills Outgoing people-person willing and able to represent Columbia Orthopedics in the market Experience in orthopedics or healthcare related field preferred Special Instructions Preferred Qualifications Essential Functions Additional Essential Functions (Limit to 3950 characters.)
