Position Summary:

Reporting to the Director, Performance, Learning and Education, the Organizational Development Program Coordinator coordinates a variety of learning, education training and workforce development activities to ensure the smooth implementation and evaluation of organization-wide and department specific trainings, interventions and skills development initiatives. Coordinates, organizes and schedules Employee and Manager Orientation programs.

Drafts communications (web and paper) and develops content for publication to promote employee's development. Compiles and analyzes a variety of metrics for the purpose of evaluating the effectiveness of programs.

Position Qualifications:

A Bachelor Degree in Human Resources, Business or related area is required. A minimum of three years of related and progressively more responsible experience is necessary in order to possess the breadth of knowledge required by this position.

Strong interpersonal skills are required to influence others, gather information from individuals and groups. Must be able to build relationships that support collaborative work within the department, across the organization and externally in the community.

Requires a good working knowledge of training/educational practices and procedures. Must have exceptional working knowledge of word processing, database/spreadsheet and other graphic applications to produce the necessary outcomes.

Excellent organizational skills needed including demonstrated project management skills

Excellent writing skills necessary to produce clear and concise communications in memos format, in organizational publications and on the web.

Ability to discern key factors or issues in a decision, consider a variety of points of view, glean the salient points and weigh all factors objectively is necessary.

Major Responsibilities:

Coordinates and oversees course registration process which includes development of marketing materials for Organization & People Development course promotions, scheduling facilitators and instructors for learning and development initiatives for staff. Maintains documentation (schedules, locations, payments) and coordinates all audio-visual and other request facilitators/instructors may need for programs and events.

Maintains participant record keeping and independently follows up to resolve issues. Summarizes evaluations for instructors, maintains an ongoing database of all evaluations, analyzes trends and periodically develops summary reports for review by instructors and HR leadership.

Creates and advertises seasonal training schedules during specific time frames such as BSN Training Program, as well as the school-to-career and health career education initiatives.

Loads classroom training into online LMS for registration and monitors attendance levels. Sends email reminders or other communication to registered class participants, maintains waiting list information and ensure attendance is recorded in LMS. Coordinates class evaluation form process (paper and electronic) and ensures evaluations are maintained and communicated to internal or external facilitator/trainer.

Works with the Director on skills training initiatives to enhance the skill development and retention of the current workforce. Works with identified college programs to coordinate the delivery of foundational, basic education, administrative or clinical skill development for employees (whether on-site or at the specific college). Collaborates with educational partner, managers and supervisors and the Director to develop appropriate communication approaches for programs offered.

Works independently with external instructors, colleges, vendors, etc. delivering training, educational and skill development programs at UMass Memorial, such as the onsite RN to BSN Program and Medical Terminology course. Collaborates with Purchasing as necessary and maintains contract information, ensures billing and recording keeping are maintained. Processes payments and maintains records.

Works with Director in coordinating school-to-career and health career education initiatives. Collaborates with Worcester Pipeline and Nursing Pipeline Collaboratives to enhance the job placement of students in the clinical system.

Works with Volunteer Services across campuses to enhance the student experience. Provides orientation and placement of students in clinical areas and ensures their assignments at a good fit for the student and management.

Administers the Tuition Assistance program at UMass Memorial. Reviews tuition assistance applications, verifies employee eligibility information, ensuring employees submit appropriate documentation, obtains final grades, and processes reimbursement according to established guidelines.

Maintains Tuition Assistance database of utilization and produces regular reports on such utilization including projected and actual cost, trends in program attendance, job groups utilizing benefit and exceptions to practice.

Recommends process or policy changes to the Tuition Assistance program. Participates in ongoing development of improvements to the program and communication to employees. Monitors and tracks exceptions or unique situations.

Monitors New Employee Orientation attendance for Joint Commission and Medical Center compliance to ensure all required training is completed timely. Researches status of staff (volunteers, students, regular employees etc.) and follows up with employees, Human Resources staff, and/or management as warranted to promote compliance.

Leads department temporary staff by orientating, training and by providing on-going instruction as appropriate. Schedules, distributes and monitors the flow of work for assigned group of employees and provides information regarding employee job performance to department director.

Complies with established departmental policies, procedures, and objectives.

Attends variety of meetings, conferences, and seminars as required or directed.

Demonstrates use of quality improvement in daily operations.

Complies with all health and safety regulations and requirements.

Respects diverse views and approaches, and contributes in maintaining an environment of professionalism, tolerance, civility and acceptance toward all employees, patients and visitors.

Performs other similar and related duties as required or directed.
