The Department of Health and Human Services (DHHS) provides supportive, preventive, public health and intervention services that protect the public health and assist our customers in meeting their needs.
The mission for the Maine Center for Disease Control and Prevention (Maine CDC), Health and Environmental Testing Laboratory, within which this position is located, is to develop and deliver services to preserve, protect, and promote the health and well-being of the citizens of Maine.
You will serve in an administrative support role for the Health and Environmental Testing Lab (HETL). Your primary responsibility is to ensure the HETL Finance Team maintains operation capability by ordering supplies and maintaining inventory. You will also play a role in maintaining the fiscal stability of the HETL providing administrative support by performing routine office tasks. This program is designed protect the health and safely of Maine.
Core Responsibilities
Sort and match packing slips and invoices verifying and reconciling against vendor statements
Entry of capital equipment into databases
Answer inquiries from vendors regarding account balances
Create computerized requisitions, purchase orders and delivery orders upon request
Oversee and maintain a computerized inventory control system
Type routine business documents as form letters and/or memos
Collaborate with management to complete necessary projects
Work independently on delegated tasks
Identify inaccuracies in vendor database
Maintain organizational-wide supply request spreadsheet
Fulfilling necessary supply requests
Provide support regarding HETL orders to laboratorians
Facilitate the proper distribution of samples within the laboratory
MINIMUM REQUIREMENTS:
Training, education or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of inventory and property management principles to perform complex work in conducting inventory operations for a warehouse or stockroom and 2) the ability to use independent judgement in handling exceptions to establish work assignments, priorities and schedules.
All positions in this classification assume the qualifications of: Inventory and Property Assistant.
Preferred candidates will also have:
o Excellent oral and written communication skills
o Strong attention to detail
o Strong organizational, analytical, mathematical skills
o Self-motivated with excellent problem-solving skills
o Knowledge inventory management techniques
o The ability to establish and maintain effective working relationships with a diverse group of internal and external partners
o Computer skills, Microsoft Office software and database entry
o Ability to work with managers and staff to provide outreach materials for individuals in need of technical assistance
