Overview

The Order Management Representative is responsible for effectively communicating with Customers and the Sales Team to collect needed information for accurate and timely sales order entry. This is the primary order processing role.

Responsibilities

  • Accurate and timely entry of sales orders of various order types for successful order fulfillment and invoicing

  • Communicate effectively with Sales Team/Customer to collect needed information for sales order entry

  • Meet any and all established KPI's related to Order Management

  • Manage and prioritize sales orders and information for timely sales order entry

  • Work with Daily time-sensitive issues that must be resolved prior to entry/shipping/billing of orders

  • Monitor order-based mailbox, App queue, and phone for orders and order information and ensure timely retrieval and entry

  • Actively participate in MDI process to help raise Customer Service to a higher level

  • Contribute Ideas and innovations to improve upon existing systems, processes and procedures

  • Partner with Sales, Operations, and fellow Customer Service team members as appropriate

  • Manage/assist with special projects

  • Respond resourcefully and constructively to new demands, priorities, and challenges

  • Promote and maintain the professional image and reputation of the company

  • Enter chemical, reagent, equipment quotes, when outside E&E Quoting or APP scope

Qualifications

  • High School Diploma and minimum of 2 years of Customer Service Experience or 2-year College Degree.

  • Strong communication skills.

  • Ability to multi-task and work in a fast-paced environment.

  • Strong organizational skills.

  • Strong problem-solving and relationship building skills.

  • Strong computer skills and experience with Microsoft Office programs

  • Microsoft Navision (or other ERP software) experience a plus

  • At least 1 year of order entry experience

Essential Job Duties and Responsibilities * Provide personalized, excellent support to internal customers (employees, managers, dependents etc) by answering their queries and processing their requests in a timely, professional and welcoming manner. * Use a case management tool to enter, track and respond to all activities efficiently, and meet service levels set out in Service Level Agreements. * Perform various HR tasks and answering inquiries as needed, including: * I-9 Processing and compliance as well as other pre-employment activities * Coordination of incoming and outgoing employee administration * Employee and HRIS Data administration * Responding to employee issues/inquiries on benefits, HR Policy, Workers Compensation etc. * Leave of Absence and Personal Time Off Administration * Training inquiries and tuition reimbursement * General payroll inquiries * Generation of HR related reports as necessary * Act as vendor liaison with staffing agencies sourcing talent for all production (direct manufacturing) contingent worker hires including: contact with local staffing agencies, scheduling and participating in on-site interviews as required, host candidate review meetings with the interview panel for candidate selection, contact Compensation Specialist (COE) to determine salary offer, and relay salary offer to agency representative, * As needed, conduct full life cycle recruitment for production (direct manufacturing, fulltime) positions including coordinating the posting, advertising, and screening of applications/resumes, schedule and attend candidate sourcing meetings to understand hiring needs, conduct pre-screening interviews as appropriate, scheduling and participating in on-site interviews as required, evaluate candidate's job experience, education, skills, training, organizational fit, and future potential, host candidate review meetings with the interview panel for candidate selection, contact Compensation Specialist (COE) to determine salary offer, prepare and send offer letters and new hire folders, complete pre-employment testing (drug/background) and reference checks. * Serve as nationwide resource for new hire orientations; conducted weekly for fulltime new hires and contingent workers. . Conduct new hire orientations (Skype sessions) on a rotational basis; shared responsibility with all Field HR Representatives for all US-based locations. * Exercise professional judgement, operate independently and work remotely from the Americas GBS Center located in Amherst, OH Assist in communicating HR Policies locally, ensuring consistency in policy communication and enforcement. * Provide relevant support to managers and Business HR in areas such as performance management, disciplinary investigations and procedures, address and bring resolution to employee/labor relations issues including but not limited to investigations, complaints, concerns, etc. * Support the exit process for employees leaving the organization (retirements, resignations, terminations). * Ensure proper record keeping, and the confidentiality of cases and employee information as well as the integrity of HRIS data. * Ensure compliance with all government regulations (EEO, INS, ADA, FMLA, ADEA, including Affirmative Action, etc.) including Federal and State employment laws and internal processes. * Meet departmental metrics and performance scorecard requirements. * Proactively identify and recommend improvements on processes, procedures and system functionality as part of efforts on Continuous Improvement. * Assist with enriching the knowledgebase by incorporating employee feedback, issues and FAQ * Travel to other production facilities as needed. Travel to Nordson Headquarters/Amherst for team meetings; two to three times per year. * Carry out other duties as assigned by GBS management. Education and Experience Requirements Education: * Bachelor's degree in business administration, Human Resources or related field of study, or equivalent work experience required.
