Job Summary

The Order Admin Business Support team provides sales support to our Retail For Business sales team and Apple's business customers. Our focus is on delighting customers through daily management of post-sales activities with an emphasis on consistency, quality, and speed.

This position interacts directly with customers and works cross-functionally with the sales team, Accounts Receivables, Logistics, Finance, Contracts, and other internal departments to ensure customer satisfaction throughout the order fulfillment and sales support cycle. This role also entails a high volume of problem resolution and teamwork.This role is located on our campus in Austin, Texas.

Description

Order Adminl for Business Support Specialists are responsible for: Supporting Retail Business Sales teams in AMR to consistently deliver great customer experiences Providing post-sales support for Apple's business channel, including everything from orders to shipping, billing, account maintenance, and returns Delivering excellent customer experiences through email support on post-sales related topics Analyzing business trends to partner and collaborate on continuous process improvement Complex problem solving for customer satisfaction issues, process, and internal partnerships Being an active member of the team to shape business decisions and positively impact the business Holding yourself to key performance metrics and raising the bar Analyzing business trends to partner and collaborate on key business decisions Supporting new product launches to deliver Apple's latest to our business customers

Education

Bachelor's Degree or equivalent work experience2-3 years in a contact center or similar work environment

Provides administrative support and technical assistance to the branch and staff. Participates in corrective action planning and operation improvement activities. Performs quality management activities, including tracking the quality management review process and verifying information received from contractors. Responsible for contractor quality management correspondence related to reviews and notifications. Prepares, edits and distributes reports, forms, process maps and documents. Coordinates staff trainings, meetings, reviews database maintenance and electronic filing systems. Adheres to the record retention policy and purges files accordingly. Maintains quality assurance tracking logs, spreadsheets and tables. Identifies and analyzes quality control error findings for trends or patterns. Compiles and enters quality data to create charts, graphs, databases, summaries or reports. Participates in coordinating travel arrangements for staff and processing payment claims. Performs other work related assignments. Works under moderate supervision, with significant latitude for the use of initiative and independent judgment. Essential Job Functions: 35% - Provides support for the Quality Management Branch on a variety of detailed quality assurance and administrative tasks. Performs report assignments and proofs correspondence, memos, forms, reports and technical documents for completeness and accuracy. Organizes, prioritizes and tracks quality management review activities and approvals. Receives, files, routes and maintains reports and contractor correspondence related to State Agency monitoring reviews, including email notifications of quality management information to contractors and internal staff. Creates and maintains spreadsheets and procedures to track, monitor, and report on program activities. Coordinates and prepares travel arrangements, prepares travel authorizations and claims for staff. Provides support to QMB staff regarding travel authorizations and claims. 20% - Duties include reserving meeting rooms, creating meeting agendas, recording and distributing meeting minutes and maintaining a repository for meetings. Maintains calendars, identifies potential scheduling conflicts and schedules group and individual meetings or conference calls. Keeps Manager informed of impending decisions and commitments. Ensures proper physical set-up of rooms, prepares and reproduces meeting materials. Screens content of correspondence and emails and maintains a suspense file for follow-up, due dates and deadlines. Assists with planning, scheduling and coordinating interviews as well as onboarding and general orientation to QMB and the program. Receives, analyzes, distributes and takes appropriate action on incoming mail and telephone calls. 15% - Assists in the compilation of reports, summaries, and data requests. Prepares responses and ensures open records requests are tracked. Compiles and enters data to create charts, graphs and databases. Helps to plan and coordinate WIC functions and team building events. Maintains and logs changes to review calendars. Screens, organizes, prioritizes and tracks quality assurance projects and approvals. 15% - Assists with audit preparations, submittals or reports as requested from entities. Maintains administrative desk operating procedures and QMB policy and procedure manual and other QMB documents. Electronic files are kept up-to-date and in order. Adheres to the record retention policy and purges files accordingly. Tracks and monitors supplies needed for QMB related activities. 10% - Prepares meeting information or orientation packets ensuring the provision of necessary materials for identified activities. Coordinates and conducts special projects and independent assignments related to quality assurance.5% - Performs related duties as assigned (marginal functions). Participates as a team member on assigned work functions.
