JOB SUMMARY: Management of all aspects of options related purchasing tasks including recruiting options vendors, expanding vendors list and direct supervision of Options Coordinator (if any) on execution of day-to-day options related purchasing tasks, including, but not limited to the followings: starts process, flooring and appliance processes; coordination of options set-up, costs and contracting; Studio and CPA support; rebate maintenance and reporting, and subcontractor payments. Interact with appropriate internal and external personnel to respond to or resolve issues relating to purchasing policies and/or procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Manage time to most effectively meet the department's goals each day. Meet deadlines with complete and accurate information. Minimizing the effect of unexpected interruptions on long term and daily tasks.

New Communities:

  • Set-up community to bid (Options, Appliances and Flooring documents).

  • Format option bid sheets to bid

  • Research and respond to questions from bidders regarding trades, all options and flooring via email and/or phone calls.

  • Complete bid spreads for assigned trades, all options, and flooring for bid award meeting.

  • Coordinate with the CPA to execute appliance and flooring contracts into Homebuilder One.

  • Coordinate with the CPA to ensure accurate contracting of options.

  • Audit options and flooring contracts

Maintaining Active Communities:

  • Respond to calls/emails from production regarding starts, options, flooring, misc questions, etc.

  • Respond to calls/emails from subcontractors regarding work orders, options, flooring, etc.

  • Prepare contract change requests for review and approval by Sr Mgr of Purchasing and SVP of Finance.

  • Facilitate New Community Zero Tolerance (ZT) Meetings by reviewing spec list, options, and brochure review with attendees.

  • Attend and participate in Purchasing/Studio meetings (as necessary).

  • Maintenance of options descriptions and standardized option pricing. Work with vendors to standardized and negotiate flooring option costs.

Direct Options Managerial Tasks:

  • Responsible for entire option program, including, but not limited to bidding out all options for new communities, maintaining scopes of work for options, implementation of new options, keeping option contracts and offerings current, and ensuring accurate contracting of options.

  • Oversee starts process including appliance orders.

  • Liaison between Studio and Purchasing on as needed basis.

  • Meet and recruit potential vendors on new options.

  • Expand options vendors list.

  • Work with Director of Studio to standardized options offerings and pricings.

  • Negotiate option and flooring pricing.

Work with Internal Employees and External Subcontractors:

  • Internal:

  • Sr. Mgr of Purchasing (daily) - communicate work progress and any outstanding issues.

  • Purchasing Agent (daily) - communicate work progress and any outstanding issues with new and active communities.

  • Centralized Purchasing Administration (daily) - provide support for and troubleshoot all issues relating to subcontractor's contracts.

  • Production Department (daily) - provide support for and troubleshoot any concerns regarding contracts, options, starts.

  • External:

  • Subcontractors (daily) - provide support, troubleshoot and resolve all questions or concerns with contracts, starts, and options.

Other special assignments as may be needed:

  • Rolling thunder corporate projects related to PMT (Product Merchandising Team) updates, product offerings, virtual online studio, company wide roll-out of promotions or programs that are option related.

  • Studio corporate calls

EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:

Education:

  • High School Diploma or GED required. Accounting or Business Management degree is a plus.

Experience:

  • Strong understanding of various construction products and processes involved in options purchasing is a must! A minimum of 5 years of experience in residential options purchasing, negotiation and contracting is required!

Knowledge, Skills & Abilities:

  • Ability to maintain the highest Ethical behavior

  • Self-motivated and able to work in a collectively responsible team environment.

  • Ability to stay organized and manages priorities in an efficient manner.

  • Possess strong negotiation skills and experience

  • Proficient in using MS Word, MS Excel, MS Outlook {mandatory}, AS/400 experience preferred.

  • Exceptional communication skills necessary, both written and verbal; detail oriented with good follow-up and follow-thru skills.

  • Good people and problem solving skills required

COMPENSATION AND BENEFITS:

  • Base Salary: The expected base salary range for this position is $90,000 - $120,000 per year depending on experience, paid semi-monthly.

  • Bonus: This position is eligible for a 10% annual bonus.
