This is an OPS (Other Personal Services) positions and as such no paid time off is offered. Health benefits will be offered for full-time employment. OPS employees are eligible to participate in a deferred compensation plan.

DESCRIPTION OF DUTIES

The incumbent performs a variety of clerical duties related to immunization services. Duties include greetings, registration, filing, medical records and phone operation.

Face to Face or by telephone: greets client, determine purpose of visit, answers customer questions, provides information and routes clients as per procedures. Receives and screens incoming calls, take messages and respond to public and routine inquiries. Answers telephones/transfer calls.

Register clients in HMS and check third party insurance. Interview, verify and record patient demographics, for the Immunizations Program.

Interview and records patient demographics in the Florida Shots system for Immunization clients. Prepares and witnesses consent forms and release of information.

Assist individuals, families and/or groups of individuals accessing our immunization outreach clinics in a variety of settings including schools, day cares, mobile home parks, community resource fairs, homeless and substance use agencies, and other public/community facilities. The scheduled community events may occur during the evenings and weekend.

Protects the security of medical records/EHR and ensure that confidentiality is maintained and follows policy and procedures. Utilizes approved forms/screens.

Scans registration and immunization consent forms in HMS. Review documents scanned into HMS by client's electronic medical records case file prior to deleting. Maintains hard copy records and packs/logs for storage. Follows the facility's retrieval and log out/in procedure to account for all records.

Participates in workgroups and meetings and attends/completes required trainings. Reviews/responds to email daily and completes on time all administrative requirements such as EAR's timesheets, reports, etc.

Performs other related duties as assigned. Organizes and maintains client's records and files by agency policy.

Maintain a calendar of appointments, reports, and other commitments as assigned. Preform primary duties of other clerical staff in their absence and other related administrative duties as requires.

Position reports directly to the Operations & Management Consultant II.

MINIMUM QUALIFICATIONS:

  • Are you willing to work before, during and/or beyond normal work hours, or days in the event of an emergency? Additionally, emergency duties are inclusive of working in Special Needs Shelters, or performing other emergency duties, but not limited to responses to or threats involving any disaster, man-made or natural.

  • Experience handling confidential information including patient medical records.

  • Experience interviewing or registering clients in a doctor's office, medical setting or social service program.

  • Willing to work evenings and weekends as determined by program needs.

PREFERRED QUALIFICATIONS:

  • Experience utilizing Microsoft office products.

  • Proficient in written and spoken English, bilingual.

  • Three (3) or more years of experience working with the Public or Community agencies.

  • Experience interacting with customers in person and via telephone.
