Your Specific Responsibilities:

The incumbent to this position will maintain responsibility for supporting the coverage needs of the Information Desk, Appointment Desk and Client Processing units of the Operations Department. The incumbent will assist in checking clients in for services, preparing their chart for clinical services and schedule/canceling or modifying clinical appointments. The incumbent will assist in directing customers and visitors to the appropriate area within the agency will update the HMS system with all required and accurate data as needed and will provide information to the general public seeking services within the Department of Health in Seminole County.

Scheduling

  • The incumbent to this position will maintain primary responsibility for coverage of the clinical and immunization appointment desk. He/She will be responsible for making clinical/dental/immunization appointments for customers utilizing the state computerized system including but not limited to schedule, reschedule and canceling appointments in an efficient and timely manner, maintaining confidentiality at all times.

    He/She will ensure utilization of appropriate systems to verify client payer source and financial eligibility. The incumbent will be responsible for asking appropriate questions to clients to ensure the proper type of clinical/dental/immunization appointment is set. Updates client information in HMS system.

    This position requires excellent customer service and phone skills. Provide callers with information or telephone number for various areas within or outside of the health department for services. He/She will responsible for making contact with clients to remind them of their medical appointment the day before.

Information/Check in desk

  • The incumbent to this position will provide clients and visitors of the FLDOH-Seminole with information and directions as requested. He/She will direct the residents of our community that seeks services to the various sections within the health department.

    The incumbent to this position will check clients in for clinical and eligibility services utilizing the electronic sign-in sheet and Health Management System. He/she will provide proper check-in documentation to the client and notify clinic of the client's arrival. The incumbent to this position will answer calls received at the Information desk in a professional and polite manner and will provide to callers information and resources as requested and known. He/She will ensure that confidentiality is maintained 100% of the time.

Client Processing- The incumbent to this position will maintain responsibility for processing client records for clinical and immunization services. He/she will utilize various programs including the Health Management System to verify and update client information and eligibility status.

He/she will prepare the clients chart for the appointment type identified, verifying information, organizing chart information and updating/adding all required forms. The incumbent to this position will follow up on any missing appointments, notating such information in the chart.

  • The incumbent will attend all assigned meetings, trainings, staff meetings and participate in teams as identified by their immediate supervisor including policy update trainings. He/She will perform and all other duties as assigned by their supervisor which supports their department and the FLDOH in

This is a professional position that serves as the Uninsured Services Specialist within the Patient Care & Treatment Access Program of the HIV/AIDS Section, Bureau of Communicable Diseases, Division of Disease Control and Health Protection

Required Knowledge, Skills, and Abilities:

Ability to plan, organize and coordinate work assignments.

Ability to navigate and document accurately within the electronic health information systems.

Qualifications:

Do you have verifiable work experience with medical records in a medical setting (hospital, clinic, doctor office or health department)?

Do you have verifiable experience registering and scheduling client appointments in a medical setting (hospital, clinic, doctor office or health department)?

Do you have verifiable work experience using any type of computer program to manage client electronic records?

Do you have verifiable work experience verifying patient insurance information in a medical setting (hospital, clinic, doctor office or health department)?

Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
