Reports to: Operations Support Officer

Functions Supervised: None

Primary Functions: Administer the credit union's specialty accounts to include IRA, HSA, business, trust and fiduciary accounts.

Manage the Notary, Medallion Signature Guarantee, and Signature Validation programs. Process declaration of loss requests and replacement check orders. Coordinate and process all deceased member claims for the credit union including establishing Estate accounts. Assume increasing responsibilities as experience, tenure and training demonstrates.

Duties and Responsibilities:

  • Provide support and administration of special account types such as IRA, HSA, trust, business, guardian/conservator and representative payee accounts.

  • Administer the Notary, Medallion Guarantee, and Signature Validation programs; provide support and answer questions.

  • Maintain and process declaration of loss requests, returned check orders, and safe deposit box leases.

  • Research, collect, and process information for deceased member claims.

  • Coordinate and communicate with designated representatives and family members of the decedents.

  • Coordinate and communicate with branch staff and appropriate business units and vendors regarding deceased claims.

  • Establish new account relationships, Estate accounts, and Fiduciary accounts and transfer assets as required.

  • Reconcile assigned department general ledgers.

  • Perform other duties as assigned.

Requirements

Education: High school graduate or equivalent.

Creditable Experience in Lieu of Education: Not applicable.

Experience/Skills:
Excellent verbal and written communication skills.

General account knowledge or balancing experience. Strong organizational skills with a strict attention to detail. Ability to work independently, handle a variety of tasks, and self-proof work.

Proficient in computer skills with office software. Must be able to directly communicate with members in a compassionate and professional manner.

Tenure: Operations Specialist II, category 14, requires six months tenure in the Operations Specialist I, category 15, position and performance that meets or exceeds expectations.

Operations Specialist III, category 13, requires six months tenure in the Operations Specialist II, category 14, position and performance that meets or exceeds expectations. Senior Operations Specialist, category 12, requires six months tenure in the Operations Specialist III, category 13, position and performance that meets or exceeds expectations. Directly related work experience and/or accelerated training completion may be substituted for tenure.

In this position you will: * Greet patients/families, register, verify and update necessary information (including prepaid eligibility) on the system. Ensure scheduled visits for patients are with appropriate authorizations. Assist the patient with the completion of routine forms. Report problems and irregularities. * Ensure that the patient's next appointment is scheduled (if appropriate) and referrals are coordinated (if appropriate) prior to patient leaving the office. * Answer telephone and disburses callers in a friendly, prompt and accurate manner. Provide accurate information or takes messages when appropriate. Retrieve and disburse messages from answering service/machine and facsimile machine. * Schedule, cancel, reschedule and confirm office visits according to office scheduling procedure. Track and recall patients when appropriate for chronic care follow-up and preventive care visits. * Prepare for the next day's activities. This includes printing the physicians' schedules (alphabetically and chronologically), pulling the medical records and printing encounter forms and demographic sheets. * Ensure maintenance of medical records. This includes the timely and accurate retrieval and storing of patient records; submitting the medical record to physician for review (i.e. lab results, signature, telephone messages and referrals); filing of dictation, lab work results and physician referral reports; and responding to medical records requests, insuring patient confidentiality at all times. * Maintain and update current information on physician's schedule. Assist physician in keeping to the schedule in order to minimize patient wait times. * At staff request, schedules patient testing, procedures, referrals/consultations and admissions with hospitals, specialist and allied health agencies. Types and copies documents/forms as required. * Work with attorneys, court, and out of town clinics for staff scheduling. * Maintain work area in a clean, neat and orderly manner. * Assist with billing, ordering, maintaining supplies, and reporting. * Implement care/services that recognize age/diversity specific needs/issues of customers served. * Complete initial and annual Competency Plan for assigned job and department.
