POSITION SUMMARY:

This position is responsible for providing operational support to the Asset Operations group. This group is responsible for processes related to alternative and traditional assets held in custody by Millennium Trust. The ideal candidate will be a quick learner and have strong attention to detail, accurate and rapid data entry capabilities, capacity for multitasking, and the ability to prepare and process correspondence in a timely manner. Through verbal and written communication, this person will need to develop, strengthen and maintain positive relationships with the Asset Operations team, firm associates, clients, investment sponsors, and referral partners.

ESSENTIAL JOB FUNCTIONS:

  • Sorting, scanning and distributing purchase, re-registration and exchange confirmations, sponsor statements and other correspondence received via email and accessed through portals

  • Sorting and distributing incoming physical mail including scanning documents into the firm data archival

  • Preparation and mailing of client and sponsor correspondence

  • Ensuring that all processing consistently meets established service levels and is done with a high degree of accuracy

  • Assisting with any other tasks or projects as assigned

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

  • Bachelors degree or commensurate work experience

  • 1-2 years previous experience in an office environment

  • Be detail-oriented, organized and dependable

  • Have the ability to type, enter data and perform other duties quickly and accurately

  • Work independently and be proactive in resolving issues and seeking additional work as time allows

  • Have strong computer aptitude and proficiency with Microsoft Outlook, Excel and Word, particularly Word mail merge functionality

  • Be proactive and analytical, able to problem-solve and propose resolutions

  • Possess strong verbal and written communication skills

  • Operate with a high sense of responsibility and conscientiousness in delivering results

  • Be optimistic with a consistently positive and flexible attitude

  • Have the ability to meet established department service levels

  • IRA knowledge and experience with alternative investments and data archival systems a plus

OTHER REQUIREMENTS:

  • Overtime as required

POSITION SUMMARY: The Temporary Operations Support Associate is responsible for providing support to the Client Account Operations teams. The ideal candidate will be a quick learner and have strong attention to detail, accurate and rapid data entry capabilities and capacity for multitasking. Through verbal and written communication, this individual will need to develop, strengthen and maintain a positive relationship with other internal Operational and Client Servicing teams.
