SUMMARY

Under immediate supervision, the Order Room Specialist has knowledge of office management systems and procedures and performs a wide variety of processing duties with daily supervisory review as necessary. The Specialist may be given responsibility over a particular job function based on departmental processes and needs. Must enter equity and bond orders for branches as well as money managers with emphasis on accuracy and speed to ensure timely market execution. Other duties may include researching and resolving trade discrepancies and reconciling accounts. The Order Room Specialist must be able to navigate different platforms including Thomson BETA Systems, APL, Vest Mark, and Fidessa.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Receives equity and option orders over the phone and promptly enters them through the BETA system with accuracy.

  • Process allocations for block trades and verifying accuracy by monitoring inventory positions and money balances.

  • Learns and assists with Cancel & Rebills and other trade related corrections.

  • Other duties as assigned by Supervisor.

QUALIFICATIONS

  • High School diploma or equivalent

  • Post-high school college coursework desired

  • 1-2 years general business experience desired

  • Proficiency in Microsoft Outlook and Microsoft Office skills, especially Word and Excel. MS Access a plus.

  • Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.

  • Knowledge of administrative and clerical procedures and systems, managing files and records, and other standard office procedures and terminology.

  • The ability to communicate information and ideas in spoken or written form so that others will understand.

  • Knowledge of principles and processes for providing customer and personal services.

  • The ability to tell when something is wrong or is likely to go wrong. It may or may not involve actually solving the problem.

The Lab Operations Specialist is responsible for optimizing the relationship between labs and the 1,400+ supported Doctors and 900+ supported offices at Heartland Dental. This position, having lab industry knowledge, will consult with supported Doctors and team members, and drive initiatives that maintain a high level of performance and satisfaction among preferred lab partners. To give you an idea of team structure, you will work on a team with Procurement and Operations, reporting to the Procurement Director of Strategic Sourcing and Labs. Below is an overview of the duties and responsibilities associated with this position: * Develop informed and insightful partnerships with our preferred labs. Serve as liaison between the labs and our supported offices to be able to foster a high level of satisfaction among Doctors and team members. * Partner with Operations to effectively promote and influence the use of preferred labs among our supported offices. Execute initiatives that will help supported offices overcome barriers to using preferred labs. * Perform analysis to monitor and track progress on initiatives that increase demand with preferred labs, and counsel supported offices so they understand the benefits to using preferred labs. * Manage overall performance, holding preferred labs accountable for consistent on-time delivery and first-time quality. Partner with offices to troubleshoot performance issues as requested. * Supervise a group of 4 to 5 Lab Field Advisors who will be mobilized in the field to assist supported offices in the transition from their existing labs to a preferred lab partner. Key Success Factors: * Relationship management skills to positively engage with Doctors and team members across the country and improve overall satisfaction with preferred lab partners. * Customer service and sales focus with the ability to drive alignment toward common goals * Ability to assimilate information from various data sources to track progress, drive continuous improvement initiatives, and troubleshoot as needed. * Lab industry knowledge to be able to provide insights into technology, processes and other market changes that impact out business. Minimum Requirements: * Bachelor's degree and 5+ years of sales or marketing experience; or Associate's degree in dental related field and 5+ years of experience; or 10+ years of dental or healthcare industry experience. * Excellent communication skills with the ability to interact with supported doctors, labs and support staff to drive alignment toward common goals. * Strong computer skills, including experience with Excel and PowerPoint and analytical skills to create and manage reports. * Ability to market and sell the benefits of using preferred lab partners while displaying sensitivity to personal barriers in changing partners. * Supplier management skills to be able to measure and lead initiatives that will improve lab performance.
