Under immediate supervision, the Order Room Specialist has knowledge of office management systems and procedures and performs a wide variety of processing duties with daily supervisory review as necessary. The Specialist may be given responsibility over a particular job function based on departmental processes and needs. Must enter equity and bond orders for branches as well as money managers with emphasis on accuracy and speed to ensure timely market execution. Other duties may include researching and resolving trade discrepancies and reconciling accounts. The Order Room Specialist must be able to navigate different platforms including Thomson BETA Systems, APL, Vest Mark, and Fidessa.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Receives equity and option orders over the phone and promptly enters them through the BETA system with accuracy.
Process allocations for block trades and verifying accuracy by monitoring inventory positions and money balances.
Learns and assists with Cancel & Rebills and other trade related corrections.
Other duties as assigned by Supervisor.
High School diploma or equivalent
Post-high school college coursework desired
1-2 years general business experience desired
Proficiency in Microsoft Outlook and Microsoft Office skills, especially Word and Excel. MS Access a plus.
Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
Knowledge of administrative and clerical procedures and systems, managing files and records, and other standard office procedures and terminology.
The ability to communicate information and ideas in spoken or written form so that others will understand.
Knowledge of principles and processes for providing customer and personal services.
The ability to tell when something is wrong or is likely to go wrong. It may or may not involve actually solving the problem.
