To facilitate our expanding engineering and consulting business, RMS Energy is currently seeking an Operations Specialist to join our dynamic and fast-growing team. Our Operations Specialists are responsible for providing business support services and assisting with a variety of administrative functions.

Responsibilities:

  • Enters Orders/Jobs into production system (Sage), updating as directed.

  • Updates the production system following production meetings relative to status, dates, shipping, and other pertinent information.

  • Assists Operations Manager and / or Business Administrative Manager with scheduling technicians, resources, appointments, logistics for travel, and maintaining itineraries as directed.

  • Provides customer service support.

  • Coordinates customer billing; prepares invoices and processes in timely fashion.

  • Acknowledges and processes customer PO's as directed in collaboration with the BAM.

  • Coordinates material procurement and generates purchase orders. Confirms material orders and pricing meet with purchase requisitions; provides notice of any discrepancies to the Operations Manager/BAM.

  • Orders office supplies, shipping supplies, and maintains copiers/printers.

  • Oversees the order hand-off process ensuring that customer invoicing, shipping information, and terms are entered correctly in the system.

  • Assists with job cost activities by tacking labor allocation, expense items, and project material costs.

  • Assists with inside sales support providing necessary information and / or documentation by utilizing, or accessing, sales web based application.

  • Compiles branch payroll information and transmits required data into the company's management system daily. Reviews SAGE labor reports for accuracy and resolves all discrepancies in a timely fashion.

  • Coordinates and assists Accounts Payable with ensuring accurate posting of vendor invoices, corporate account purchases and individual expenses, as requested.

  • Responds to emails daily and addresses high priority items in a timely fashion.

  • Follows up on a regular and as needed basis with customers and field service operations on all open and unresolved issues.

  • Supports with shipping and receiving procedures, where required, to meet deadlines.

  • Maintains open lines of communication with field support staff to ensure project-related needs are met.

  • Answers telephone and routes to appropriate individuals or takes messages.

  • Ensures all callers are handled in a professional and courteous manner.

Qualifications:

  • 3-5 years' experience in an administrative/office setting or related function.

  • Bachelor's degree in business or related field preferred, or equivalent experience.

  • Strong organizational skills and interpersonal skills in interacting with management, technical support staff, suppliers, and customers.

  • Ability to carry out instructions furnished in written or oral form; deal with problems involving several concrete variables

  • Ability to add, subtract, and divide all units of measure.

  • Ability to read company manuals and reports, workplace rules and procedures; speak with poise and confidence, using correct English.

  • Microsoft Office Suite (required proficiency), SAGE (preferred), CRM (preferred)

  • Public Notary preferred.
