Description

We are seeking a dynamic and proactive operation specialists/program coordinator to join our innovative startup team, focused on developing cutting-edge medical device robots. This role is pivotal in supporting various operational functions essential for the smooth operation of our program and the efficient management of materials and equipment required for our groundbreaking projects. This is a full time on-site position and will require reporting to our offices located in Campbell, CA.

Responsibilities, Skills & Hands-On Experience

  • Complete purchasing activities for ongoing supplies (both office and lab), inventory items, prototyping and production materials and equipment through established Purchase Order procedures, and in accordance with Quality System requirements.

  • Maintain accurate purchasing records, track and allocate expenses to support budget management.

  • Work with purchase requestors to resolve issues in a timely and effective manner.

  • Perform shipping and receiving activities for materials and services in accordance with Company policy and Quality System requirements.

  • Distribute received items to appropriate employees/departments.

  • Support accounting with appropriate documentation for purchasing and receiving.

  • Coordinate with technical teams to verify the accuracy and completeness of received items.

  • Facilitate the resolution of any discrepancies or issues with suppliers.

  • Create shipping labels and coordinate shipping as requested by the team.

  • Support management in the development and implementation of inventory management processes.

  • Maintain Inventory of key operational items:

  • Routinely monitor and order office, kitchen, and general business supplies and repairs.

  • Routinely monitor and order lab supplies and inventory items.

  • Support management to optimize storage and organization of materials to maximize efficiency.

  • Prepare and assemble material kits for use in prototype development, testing, and production activities.

  • Conduct regular inventory audits and maintain accurate records of stock levels.

  • Support the Quality System and Quality Policy. Be aware of Quality System procedures and requirements, including regulatory requirements and training requirements for position activities. Inform responsible personnel of concerns involving product quality.

  • Perform job functions in a safe and effective manner.

  • Assist in the administration of program management, supporting data entry and ensuring data accuracy and completeness.

  • Generate reports and provide data analysis support to program managers and project teams.

  • Coordinate meetings, maintain project documentation, and support other administrative tasks as needed.

  • Other duties as assigned.

Education & Work Experience

  • Bachelor's degree in business administration, supply chain management, or a related field is preferred.

  • 3+ years' experience supporting operation activities related to design, prototyping and manufacturing of regulated products such as medical devices, automotive or other systems including mechanical and electrical components; medical device preferred.

  • Previous experience in office administration, procurement, or materials management, preferably within a startup or technology-oriented environment.

  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.

  • Proficiency in Microsoft Office suite applications.

  • Knowledge of inventory management principles and experience with inventory tracking systems is desirable.

  • Ability to adapt to a fast-paced, dynamic startup environment and contribute to a culture of innovation and collaboration.

  • Must be able to clearly document activities.

  • Able to interpret and read technical specifications and mechanical drawings.

  • Knowledge of Medical Device Quality Management Systems and ISO 13485 preferred.

Our salary ranges are calculated by role and level. Your position within that range will be determined by your job-related knowledge, skills, experience, relevant education, and training/certifications. In addition to those factors, we also examine internal equity as well as consider current market rate, and title may be assessed one level lower or higher accordingly. After you join the company your performance, contributions, and results along with business and organizational needs will affect your base salary. The base salary range for this full-time position is between $65,000 to $80,000 + equity + benefits.
