Salary Range: $48,000 - $52,000 Dependent on Experience

Join our dynamic team at INTO OSU as an Operations Specialist!

This vital role involves leading various administrative functions within the INTO OSU Center, including project innovation, event planning, facilities management, and human resources. You will handle sensitive information with discretion and provide exceptional support across multiple areas to ensure the success of our initiatives.

Key Responsibilities

Events, Visits, Projects, and Meetings (70%)

• Lead event-planning committees for staff engagement activities, both virtual and in-person.

• Plan and coordinate center events, meetings, and visits, including the Administrative Professional Enrichment Day, university visits, and annual holiday parties.

• Promote and manage INTO OSU charitable initiatives and partnerships.

• Assist with local arrangements for Familiarization (FAM) trips and other major events.

• Provide excellent public relations and customer service on behalf of the INTO OSU Center.

• Maintain confidential records and support strategic discussions with compliant data collection.

• Supervise student workers and other support staff as needed.

• Provide administrative support for meetings and other activities.

Facilities, Administration, and Human Resources (30%)

• Support projects and innovations for INTO OSU activities.

• Act as the local liaison for INTO North America Human Resources.

• Assist with the recruitment, hiring, onboarding, and training processes for staff and faculty.

• Maintain staff and faculty records, distribution lists, org charts, and service records.

• Curate professional development opportunities and manage website updates.

• Oversee facilities management, including building access, renovations, and maintenance.

• Coordinate with OSU IT support for office IT and telecom needs.

• Lead the Incident Management Team and oversee the Emergency Operations Plan (EOP).

Experience and Competencies:

Essential:

• Minimum two years of experience in an administrative role or equivalent education/work experience.

• Strong program and project management skills.

• Excellent interpersonal, oral, and written communication abilities.

• An international outlook and cross-cultural awareness.

• Proven ability to work effectively as part of a team and adapt to various working styles.

• Commitment to promoting and enhancing diversity.

• Strong problem-solving, decision-making, and creative thinking skills.

• Ability to maintain sound judgment under pressure.

• Effective resource management and prioritization skills.

• Excellent organizational skills and proficiency with Microsoft Office.

Desirable:

• Bachelor's Degree.

• Overseas experience and foreign language skills.

• Experience in an international environment or higher education.

• Familiarity with tools like Microsoft Office Suite, Zoom, DocuSign, Box, Google Drive, and Drupal.
