This position performs comprehensive administrative support for the Directors Office which includes comprehensive program areas such as Management Services, Nursing, Residential Services and Human Resources among others. This position maintains complex databases to update program information and prepare statistical data analysis or reports. This includes tracking due dates for certification and licensures, paperwork processing, creating and maintaining paper and electronic files, scanning documents for electronic file upload, database creation and maintenance, checks references and other related administrative support duties associated within the programmatic areas. Answers calls, greets customers, works cooperatively as a team player assisting other department staff with program support assistance as directed.
Due to the nature of these positions, all applicants will be required to allow DHS to conduct a background check to determine whether the circumstances of any convictions may be related to the job being filled.
All appointees will be required to receive a TB test, which will be administered by SWC or medical personnel approved by the facility prior to their start date.
Minimally qualified candidates will have:
Experience providing administrative support such as: filing documents, obtaining signatures, recording meeting minutes, scanning documents, auditing files for completeness, etc.
Experience utilizing Microsoft Excel to perform data tracking tasks such as: entering, manipulating and retrieving data and creating reports.
Experience assisting customers via phone or in person such as greeting visitors and answering inquiries while utilizing professional verbal communication skills.
Organizational skills (prioritization, meeting deadlines, etc.)
In addition, well-qualified candidates will have:
Experience providing administrative support in an environment that handles sensitive or confidential information such as: healthcare, government, or human resources.
Advanced experience utilizing Microsoft Excel for tasks such as: creating pivot tables, creating filters and formulas, macros, etc.
