Our mission is to help people maintain the safety and value of their homes by offering home improvement services, handyman services, home modifications, home safety assessments, and regular house maintenance. We are dedicated to helping busy adults and seniors protect their home investment.
We are searching for an experienced Office Manager/Administrator to help our growing company expand into the future. The candidate will be required to:
Manage client inquires and requests, respond to and follow-up on inquiries from potential clients, serve as a liaison between clients, vendors and technicians, prepare estimates, prepare invoices, and manage the customer intake process from multiple platforms and systems, handle receptionist responsibilities, and manage the workflow in our field management system.
Gather information needed for a technician to estimate the project(s)
Provide virtual estimate or coordinate and schedule an on-site estimate to be performed by a technician
Order materials
Schedule approved jobs according to staffing availability.
Manage technician schedules for estimates and jobs
Track hours worked by employees per job.
Track purchases made for each job.
Communicate with technicians regarding their schedule, assigned work, and customer requirements
Ensure all completed work is marked finished and invoiced, and follow up regarding payment
Prepare and send invoices when the projects are complete.
Assist estimators with material location and pricing.
Manage customer communication and follow up via telephone/message/email as needed
Relay any communications between clients, staff, and management.
Help maintain our social media accounts and email communication with our prospects.
Schedule hiring interviews
Run reports
Other responsibilities as assigned.
What we value:
The appropriate candidate for the position will have the skills and experience in the following areas:
Preferred - knowledge of home improvement (materials, tasks)
Sales experience is a plus
Scheduling
Inbound and Outbound Calling
Customer Service
Excellent computer skills, including Excel, Word, and CRM platforms
Excellent social media knowledge including Facebook, Nextdoor, etc.
Strong work ethic and take pride in your work
Expert in customer satisfaction - treat people with respect and expect it in return
Ability to communicate with clients with diverse socioeconomic status and age differences.
Ability to work with a diverse team of employees.
Ability to set an efficient schedule for a growing number of crew members.
Ability to adjust to interruptions, (ie. last minute cancellations, call-offs, illnesses, etc.)
Have a basic knowledge of business principles including profitability and efficiency.
Candidate must be a legal citizen of the US, and speak fluent English. Also fluent in Spanish is a plus.
