Our Operations capability works cross functionally to empower the growth of our business from a people, process, and infrastructure point of view. It is in this team in our New York office that we would like to hire an Operations & Office administrator reporting into our Operations Manager. This is hybrid role with the expectation to be in the office at least 3x a week.
We are looking for an individual with a high level of professionalism and drive to join our growing business. This is an entry-level position where you will play a key role in ensuring the smooth operation of our US offices and contribute to the development and implementation of effective people strategies. To excel in this role, you are results-oriented and able to work proactively to solve issues before they arise. You will be hands-on in the NY office working alongside our high performing team of Two Circlers.
The objective of this role is to enhance and manage: the workplace experience, smooth running of the office, internal and external events, and operationalize processes. Responsibilities include:
Workplace Management:
· Serve as the primary point of contact for employees regarding office-related inquiries and requests.
· Anticipate team and guest needs before they arise using relevant information collected about members to enhance and personalize their in-office experience.
· Monitor the space to ensure it is clean, organized, and safe for all Two Circlers.
· Create an environment that encourages collaboration and community engagement.
· Assist in organizing company meals and notify team of food deliveries and couriers.
Events and Employee Engagement:
· Organize and coordinate events, including conferences, client meetings, and company social events.
· Consistently celebrate members’ successes and milestones through gifts and notes.
· Develop and maintain relationships with all Two Circlers and clients, providing high level customer service.
· Develop and implement strategies to increase team spirit and retention.
Operations Support:
· Support the onboarding process for new hires, ensuring their equipment is set up and they have necessary supplies.
· Provide administrative support to ensure accurate and up-to-date documentation, policies, and procedures.
· Support Senior Management team with diary management and travel.
· Take charge of travel arrangements, including booking flights, accommodation, and car rentals.
· Prepare and edit documents, presentations, and reports for senior management.
