Definition of Class

This position plans, manages, implements, and provides oversight over a variety of administrative support functions for a large or complex department. The incumbent manages the planning and facilitation of events; prepares detailed reports, reviews account activity, and makes recommendations for departmental budget; provides supervision and guidance to support staff.

Examples of Work Performed

  • Supervises, trains and manages tasks for assigned support staff.

  • Supports the department head in addressing faculty, staff, and student issues.

  • Authorizes and approves documents and forms on behalf of the department head.

  • Processes student awards, coordinates recruitment activities, and manages donor relations for scholarships.

  • Provides operational support and exercises oversight of fiscal management for the department.

  • Analyzes reports, forecasts trends, and makes recommendations for the departmental budget.

  • Organizes and manages events for student recruitment, department programs, and other related events.

  • Oversees the departmental calendar for exams, events and meetings.

  • Manages processes and logistics for the administration of exams, including location, security and proctor assignments.

  • Composes and edits correspondence on behalf of the department head.

  • Participates in the development of proposals for externally funded grants and contracts.

  • Plans and develops departmental operating protocols and procedures.

  • Serves as a liaison to faculty, students, alumni, university departments, and other internal and external constituents.

  • Provides oversight of website and social media outlets for the department.

  • Acts as the Academic Common Market (ACM) coordinator for undergraduate admissions.

  • Manages the Gammill Gallery, including engaging with artists and facilitating transfer of artwork; -provides clerical and administrative assistance to the unit, particularly to the director.

  • Maintains CSSC on-line calendar and schedules space in Barnard Observatory.

  • Acts as the building mayor, including submitting work orders and maintaining inventory.

  • Answers the telephone and greets guests.

  • Orders office supplies.

  • Locks and secures the building at the end of the day.

  • Performs similar or related duties as assigned or required.

Essential Functions

Minimum Education/Experience

Education:

Bachelor's Degree from an accredited college or university.

AND

Experience:

Two (2) years of experience related to the above described duties.

Substitution Statement: Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
