Position Purpose and Summary:

Reporting directly to the dean, the school operations manager (SOM) is responsible for managing administrative and operational activities within the School. The SOM interacts with numerous constituents across the University. The SOM is responsible for managing administrative teams; preparation/monitoring of budgets; contract and payroll responsibilities, maintaining faculty records, facilities coordination, and leadership on executive level management on basic operations, special events, and student success initiatives, and communication.

Supervises: Administrative Assistants(s), Student workers

Interfaces with: School Dean and Administrators, Faculty, Office of the Provost, Institutional Advancement and External Relations, Marketing and Communications and other offices as required.

Essential Functions of the Position:

Manage Operations

  • Assist weekly operations meetings for Dean's Office leadership;

  • Develop and communicate policies for smooth operations, including the following: general office management, mail collection, inventory, purchasing of office supplies;

  • Identify areas where processes can be streamlined and made efficient through the adaptation of new technologies, training, and products;

  • Maintain official records of faculty/staff meetings;

  • Maintain and administer the SharePoint site for shared files among faculty and staff; develop and review site for ease of use;

  • Connect new faculty to offices and resources for ease of transition in teaching, policies and procedures, and technology;

  • Oversee study abroad and global research studio travel organizations; and

  • Provide direct supervision of unclassified employees and/or direct supervision of support staff.

Oversee Marketing/Communications

  • Manage (write, distribute and monitor effectiveness) internal communications (memos, email announcements) to faculty, staff;

  • Manage promotional communications for events (posters, emails, social media, newsletters, digital signage) and distribute to internal/external audiences;

  • Oversee website and social media content (school stories/engagement across a variety of platforms: Instagram, Twitter, Facebook, LinkedIn, Wentworth News stories, YouTube);

  • Monitor website and media coverage of the School (brand image);

  • Collaborate within Academic Affairs to facilitate cross-school initiatives, programming, communications, and events; and

  • Partner with Marketing/Communications in creating and promoting content featuring students, faculty, and staff.

Manage Budget

  • Develop policies and procedures surrounding reimbursements for faculty and staff members using Dean's Office funds;

  • Monitor the school budgets on Banner; maintain detailed records of faculty/staff conference spending;

  • Process and approve invoices and reimbursement requests for faculty/staff, students, and vendors;

  • Oversee credit card reconciliations; approve expense reports for Purchasing on behalf of the Dean; and

  • Work with the director of laboratory to oversee proper disbursement and reconciliation of funds.

Oversee Outreach and Events

  • Plan and execute events and projects for the school for various internal and external audiences. Manage all logistical and promotional activities surrounding events;

  • Maintain relationships with corporations, foundations, and international partner universities; and

  • Develop and maintain relationships with Alumni.

Manage Human Resources

  • Recruit, hire, train and supervise undergraduate students to serve as office assistants in the Dean's Office;

  • Manage full-time and part-time faculty and staff hiring and on-boarding processes, terminations, promotions, compensation changes, leave of absences; and

  • Manage Graduate Fellows (placement, hiring, on-boarding, reporting, and payroll).

Other Activities

  • Execute other relevant duties and functions based on School needs as assigned by the Dean; and

  • School and Institution Committee Leadership/Membership responsibilities as assigned.

Minimum Requirements:

  • Bachelor's Degree

  • 3-5 years of Office or Project Management Experience

  • (Higher Education Administrative Experience in lieu of education may be considered).

  • Excellent time-management; ability to switch between multiple projects

  • Strong verbal, visual, and written communication skills

Preferred Requirements:

  • Master's degree

  • Supervisory Experience

  • Expertise in Microsoft Office, Outlook, and virtual meeting tools.
