Manages operations of the Office of SVP, Strategy & Business Development, including, but not limited to administrative policies and procedures, financial management, and overall department operations.

Department Administration

  • Develops, implements and manages effective administrative processes, policies and procedures to support the SVP, Strategy & Business Development team.

  • Serves as the primary administrative contact for SVP, Strategy & Business Development and liaison to outside organizations as necessary.

  • Interfaces with divisions/departments across the institution, on routine basis, related to personnel, space/facilities, equipment, procurement, asset management and/or other administrative matters.

  • Establishes and maintains professional relationships with all internal and external customers.

  • Under guidance of AVP, support planning for leadership team events including agenda management, creation of supporting materials, and tracking of action items from events.

Operations Management

  • Provides direction and advice to employees regarding space, financial resources and human resources. Ensures compliance with institutional policies and procedures.

  • Functions as Human Resource Coordinator for the Department. Collaborates with Human Resources regarding recruitment, hiring, promotion, retention, etc. of all departmental staff, as well as merit reporting and timekeeping. Initiates and coordinates all HR activities, e.g., ePAFs, time and attendance reporting, etc.

  • Works with Associate VP, Strategy & Business Development and associated managers to coordinate and manage the approval process for new hires, promotions, backfills, etc.

  • Manages employee participation in compliance trainings, annual mandatory trainings, evaluation deadline compliance, merit allocation procedure and other Human Resources related activities to ensure that reporting deadlines are met.

  • Maintains position descriptions for all employees.

  • Coordinates annual performance reviews and ensures all are aware of performance management process.

  • Manages institutional reporting for Anderson Award goal completion.

  • Supports annual merit process.

  • Works in conjunction with Sr. Executive Assistant to coordinate departmental events/meetings.

  • Develops and manages division Microsoft Teams, SharePoint, and other resources to disseminate information to staff. Maintains resources such as org charts, department presentations, etc.

Finance (In conjunction with FP&A)

  • Serves as liaison between Finance and Strategy & Business Development, supporting the underlying processes of producing the division's annual divisional budget, and of tracking performance against the budget throughout the year.

  • Oversees integrity and interpretation of financial reports and presents regularly to department leaders.

  • Handles specific financial tasks including purchase order process, invoice payments and reconciliation of monthly financial performance reports

  • Assists in preparing, justifying, and administering the budget. Holds signature authority on accounts as appropriate.

  • Supports sourcing and contracting process by inputting and maintaining contract requests into institutional sourcing system, under guidance of Executive Director.

Institutional Support

  • Manages Strategy & Business Development processes and items related to UT Board of Regents preparation, submission, and communication.

  • Support committees/initiatives that involve SVP, Strategy & Business Development team members including but not limited to agenda and meeting management, tracking of action items, routine communications to committee/team, preparation of meeting presentations and materials

EDUCATION:

Required: Bachelor's degree in Business Administration, Hospital/Healthcare Administration or related field.

EXPERIENCE:

Required: Four years of experience in a professional/administrative capacity, to include two years experience in a supervisory capacity in any field. May substitute required education degree with additional years of equivalent experience on a one to one basis. Successful completion of the LEADing Self Accelerate program may substitute for one year of required supervisory or management experience.

Preferred: Familiarity with MD Anderson institutional processes is preferred. Proven ability to effectively interact with executive leadership, participate in institutional projects and committees, and manage finance and contract processes. Possessing a strong background in liaison activities, including interactions with outside entities, is highly valued. Proactive effort, demonstrated professional curiosity, team orientation, high ethical standards, integrity and accountability are needed to manage this role's complex challenges successfully.
