Our client, a Law Firm and Tax Firm in Dayton, Ohio with 20 total employees, seeks a proactive, professional Operations Manager to manage both companies. The Operations Manager will report to owner and meet weekly with the COO and CFO to discuss improvements, status of projects, and resolve issues.

Management and Operations - Legal Administrator

Develop, streamline, and manage all firm processes and procedures.

Maintain and update Employee Handbook.

Review and resolve issues pertaining to malpractice, liability, property, and cybersecurity insurances.

Assist the owner of the law/tax firm with all other management initiatives.

Human Resources

Recruiting, interviewing, hiring, counseling, employee reviews, evaluations, and terminations.

Maintain proper personnel files, reporting, records and documents.

Provide comprehensive onboarding and training of new employees.

Provide ongoing guidance and training for employees, including holding regular staff meetings.

Administer employee benefits.

Research and implement annual employee insurance renewals.

Maintain policies and procedures.

Enhance employee, training, morale and engagement.

Plan company events and activities.


Working with the COO/CFO, manage attorneys' and paralegals' daily productivity and profitability and provide reports.

Working with the COO/CFO, manage productivity and profitability of the CPA/Tax firm.

Hold timekeepers accountable for billing requirements.

Assist with accounts receivable management.

Assist with billing and backup to accounts payable.


Make decisions pertaining to equipment repairs and purchases.

Solve IT problems working with outsourced IT vendor.

Tend to all other facilities issues including repairs, expansions, office moves, changes, and improvements.

Manage telephone system moves, adds, changes and repairs.


Edit multiple blogs on a monthly basis and make minor edits to website.

Work with owner on marketing initiatives as needed.

Assist clients with communications with the Firm when needed.


The Operations Manager will have at least four (4) years of experience managing a professional law office or accounting firm at the executive level.

A strong background in human resources is required, including knowledge of state and federal employment laws, best practices, employee productivity and personnel procedures.

Experienced in revamping and improving policies, systems and procedures on a proactive basis.

Must be a strong leader, good negotiator, excellent communicator, and a manager who understand how to follow through, follow up, and be accountable.

A business degree preferred. CLM or SHRM certification or other relevant credentials preferred. Law firm management experience required. This is a hands-on position and the manager may be asked to step in on any administrative task needed.

As a member of the site leadership team you will provide strategic input for the site operations. In this role, you will oversee and hold operating teams accountable to standards for safety, food safety, quality, operational effectiveness and financial performance.</p><p>Key Accountabilities</p><ul><li><p>Implement and monitor employee and product safety and environmental compliance program standards and goals for a complex department.</p></li><li><p>Accountable for all internal and external operating and regulatory procedures on employee and product safety including strategic and tactical execution in alignment with corporate environment, health and safety and food safety, quality and regulatory functions as well as government regulations.</p></li><li><p>Monitor general operations and maintenance of plant equipment and executes on operational priorities for a complex wet corn milling department and monitors operations and quality management deliverables to ensure customer, product and quality standards requirements are met within specifications.</p></li><li><p>Drive department engagement by advancing the culture of high performing teams.</p></li><li><p>Accountable for the overall operational management of the department to implement operational efficiency improvements including standardization of plant information manufacturing systems, quality control, safety, production reliability excellence and maintenance and operators best practices.</p></li><li><p>Develop plans and deliver results in a fast-changing business or regulatory environment, while leading and developing a team of experienced professionals and supervisors, coaching and making decisions related to talent management hiring, performance and disciplinary actions.
