A&M's Private Equity Performance Improvement Services (PEPI) practice, with offices throughout the US, focuses on serving upper middle market and large cap private equity firms who have engaged A&M to help improve operating results at their portfolio companies. The Operations Manager is an internal role within the Mergers & Acquisition Services practice, reporting directly to leadership. Location is flexible. PEPI is a growing business targeting high growth in the next two to five years. Job Description:

The successful candidate will be a dedicated, people and solutions-oriented problem solver charged with the end-to-end administrative and operations management of the service line practice (MAS), but not limited to effective resources management, staff utilization oversight, administration of performance evaluation process, and delivery of key information for leadership decision making.

Responsibilities:

The Operations Manager will be responsible to manage, support, and coordinate with the MAS team on the following items:

Support the M&A Services nine Managing Directors in the following capacity:

  • Staffing Coordination

  • On-going tracking of project staffing, utilization reporting (monthly), bench-time projects, and PTO

  • Support weekly staffing call and maintain tracking tool

  • Follow-up with staff to reconcile schedule-to-actuals

  • Collection and Fund Minimum tracking

  • Sales Coordination

  • As needed help with scheduling multi-party meetings and liaison with client's EAs

  • Preparing sales materials as needed including but not limited to copying, collating, and binding

  • Pipeline Coordination / adminsitration

  • Recruiting

  • Coordination of phone screens

  • Interview day coordination (potentially on-site)

  • Project support

  • Close out compliance activities such as reviews, case studies, and code closure

  • IT and Product diligence project cycle tracking (Excel tracker)

  • Compliance support

  • Running conflict checks, confirming compliance (signed Els), setting up codes (PIFs), and validating bill rates

  • People Management

  • Performance review monitoring

  • Supporting new hire on-boarding (working with the team) for guidance and basic administration

  • Year-end performance review scheduling

  • Year-end event support, working with leadership and the travel team

Qualifications:

  • 4+ years of professional services experience, understanding project-based work.

  • Bachelor's degree

  • Proficient in Microsoft Excel and PowerPoint

  • Strong attention to details with ability to manage competing priorities and multitask

  • Ability to work as part of a team and be resourceful and adaptable

  • Organizational fit with A&M's culture and values

  • Ability to communicate with senior leaders, both written and verbally

  • Ability to travel as needed (2-3 days per month)

About the Role The Operations Manager reports to the General Manager and is responsible for overseeing all aspects of a class A commercial property based in Midtown's Plaza District with a high-profile financial services firm anchoring the property, restaurants and multiple retail stores. Hospitality Responsibilities: * Assist direct manager in creating a consistently positive experiences for clients as it relates to greeters, security and overall lobby environment. * Work with direct manager to create ZO. community events that promote connections between clients. * Curate custom programming to meet client needs and increase utilization of the ZO. platform. * Direct client relations programs which should include building events through ZO. * Maintain day-to-day contact with clients, manage issue resolution and general dealings with client representatives. * Support existing, and foster new, relationships throughout a client's organization. * Help direct manager create a client outreach program in ZO. amenity spaces and lobbies. Financial/Operational Responsibilities: * Work with General Manager/PM to maintain, enhance, and create value for the asset during the investment cycle. * Be familiar with, and assist the manager with, financial management and performance reporting. * Consistently report significant changes in the market and general property conditions by preparing operating and capital budgets in addition to reforecasting on a quarterly basis and preparing monthly reporting with detailed variance explanations. * Manage tenant arrears and collections, true-up applications, and legal notices involving when necessary. * Review tenant rent statements, invoices, accruals, and work order charges. * Oversee accounts payable and accounts receivable for the property, focusing on purchasing controls, contracts, and tenant miscellaneous charges. * Assess the asset for capital improvement and renovations when needed to maintain a competitive position in the market and/or assist asset management with market repositioning. * Communicate with senior management issues and decisions impacting the investment to achieve maximum value. * Oversee contract procurement for all vendors and suppliers. * Actively manage relationships with third-party service providers ensuring strict adherence to contract terms and performance while correcting deficiencies to yield optimal returns for the asset. * Adhere to contractual guidelines for managing the asset as prescribed in the management and leasing agreements. * Determine specific service contract requirements, develop scope of work, solicit bids, evaluate proposals and monitor contract performance for all service vendors. * Periodically review performance specifications and pricing for all existing building contracts. * Ensure that the highest priority is given to the safety and satisfaction of all clients. * Work to create, and regularly update, tenant handbook, design criteria and emergency procedures. * Coordinate all tenant move-ins and move-outs with leasing, accounting and building staff. * Draft correspondence to tenants regarding building issues and events. * Work with Engineering to reinforce SOPs and Sustainability standards Qualifications: * Bachelor's degree required. * Minimum of three to six years' experience in a property management capacity. * Comfortable representing Tishman Speyer's hospitality initiative. * Financial experience including costs, budgets, executing contracts, service contracts and arrears. * Experience in the hospitality industry or extensive customer service background. * Knowledge of the budgetary process.
