Job Summary:

The Operations Coordinator is an integral member of the Multicultural Student Center (MSC) staff and is primarily responsible for overseeing general operations of MSC spaces and identity centers located within the Red Gym. The Operations Coordinator will supervise a team of 12-14 student staff responsible for front desk services as well as setup and teardown of reservable event spaces. The Operations Coordinator ensures efficient and sustainable operations of the MSC by managing the space reservations process and maintaining inventory of all technology (printers/copiers, computers, AV equipment) and office supplies. The Operations Coordinator reports to the Assistant Director of Operations and Outreach at the MSC.

Responsibilities:

Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.

  • 25% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • 25% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • 15% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • 10% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
  • 5% Serves on committees and attends meetings, representing the interests of the unit or program
  • 10% Supervises student staff operations team, including hiring, training, timesheet approval and performance evaluations.
  • 10% Coordinates MSC tours, visits, fundraising, and tabling requests

Tasks:

  • Manages MSC operations, including front desk services, reservations system and protocols, policy development and enforcement, setup and takedown procedures (including AV technology), and customer service standards and expectations for student staff.

  • Supervises a team of 12-14 interns responsible for front desk services, event support, customer service and upkeep. Hires, trains, schedules, and evaluates operations interns. Leads biweekly meetings and co-leads semesterly all-intern training days.

  • Coordinates food insecurity initiatives for the MSC.

  • Oversees and maintains inventory and purchases of office supplies and technology, including computers, printers, and AV equipment. Maintains kitchen supplies, water delivery, and equipment. Trains all staff on use and maintenance of equipment.

  • Responsible for general upkeep of MSC spaces. Serves as point of contact for facility-related issues, including maintenance, building access, and repair requests. Represents the MSC at Red Gym Neighborhood meetings.

  • Oversees access to keys, email accounts, voicemail accounts, and other internal systems.

  • May staff the MSC front desk during business hours. May work infrequent nights and evenings to support large scale events and after-hours requests. Oversees front desk services at the MSC and BCC from 9am-10pm Monday-Thursday and 9am-5pm Friday.

  • Utilizes data to implement logistical and environmental changes in the MSC operations processes.

  • Works with operations intern team to improve customer satisfaction, team environment, and patron relationships.

  • Coordinates MSC tours, visits, fundraising, and tabling requests.

Education:

Preferred

Bachelor's Degree

Preferred degree areas: education/ organizational communication /development / leadership, or closely related areas.

Qualifications:

Minimum number of years and type of relevant work experience:

One year of relevant professional experience in an office environment, preferably within higher education and specifically multicultural student services.

Minimum Qualifications:

  • Demonstrated knowledge of issues and challenges related to underrepresented populations

  • Experience working with individuals and groups from underrepresented populations

  • Strong communication skills (written, oral, and electronic)

  • Proven ability to manage multiple projects with complex logistics

Preferred Qualifications:

  • Theoretical knowledge and practical application of college student development, multicultural identity development, intersectionality, and complexity of social identities

  • Successful management and oversight of facilities

  • Experience supervising, training, and evaluating professional staff, student staff, or interns

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.

Salary:

Minimum $48,107 ANNUAL (12 months)

Depending on Qualifications

The expected minimum starting salary for this position is $48,107.00 annually. Actual pay will depend on experience and qualifications.
