Chemonics seeks a Coordinator who will play a pivotal role in ensuring the seamless operation of our business unit as a member of the Supply Chain Management divisional operations team. Your responsibilities include responding promptly to support requests from the operations team as well as from various project management units within the division, following established processes and policies. You will undertake various administrative support tasks including reviewing and processing invoices, supporting timesheet submissions, and supporting expense report submissions, among others. This role requires on-site work in our Washington, DC office location as part of our hybrid, flexible work structure. We are looking for individuals who have a passion for making a difference in the lives of people around the world.

Responsibilities:

  • Assist project management units (PMUs) by supporting administrative tasks including but not limited to reviewing and submitting expense reports, invoices, and timesheets, and supporting administrative tasks within Microsoft D365.

  • Assist the divisional operations team by supporting administrative tasks including but not limited to credit card reconciliation, timesheet submission reminders and support, and special project support.

  • Support file maintenance and organization including file archiving and audit support.

  • Provide travel support for employees and consultants.

  • Liaise with travelers to collect expense reports and required backup documentation.

  • Support the preparation and distribution BU calendar of activities, deadlines, staff vacation, and travel.

  • Coordinate with office services and IT support on facility, equipment, and supply needs.

  • Aid in preparing presentation materials, documents, and other printed materials.

  • As needed, support proposal teams in specific line roles, including past performance writer, corporate capabilities writer, or other roles under supervision.

  • Perform other duties as required.

Requirements:

  • Associate degree or equivalent work experience.

  • Experience with data entry, filing, cataloging, retrieving, and preserving records preferred.

  • Clear and concise communication, both verbally and in writing.

  • Demonstrated experience multitasking with attention to detail, organization, and time management skills.

  • Experience following standard practices and procedures, receiving general instruction and supervision, and contributing to projects and initiatives.

  • Excellent customer service and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Demonstrated leadership, versatility and integrity

  • Demonstrated resourcefulness in problem-solving and initiative to learn new skills.

  • Knowledge of Microsoft Office applications.
