Overview

The HMG Crewing Coordinator works with the operations department to organize all aspects of crew changes.

Responsibilities

  • Ensures that crew members are booked for travel on the appropriate crew change dates to the correct locations.

  • Minimize travel expenses through planning and utilization of any/all available discounts with the Travel department.

  • Ensure tugs and barges are properly crewed and operated.

  • Maintain a calendar tracking crew member's time off and ensure the Company has proper crewing.

  • Keep crew schedule updated and operations apprised of any fleet needs.

  • Assists in scheduling crew changes and calling crewmembers.

  • Provide various billing and administrative support for dispatch.

  • Assist with the onboarding of new crew members.

  • Independently operate the company telephone system. Respond to questions; take messages, route, and screen as appropriate.

  • Contact and schedule maintenance and repairs with vendors and sub-contractors for facility issues as needed.

  • Monitor timeframes/deadlines for warranty items and regularly scheduled facility maintenance.

  • Coordinate day to day operational needs with Operations Manager.

  • Receive and distribute daily mail and deliveries to local employees and forward applicable mail and deliveries to HMS Departments.

  • Coordinate paperwork filing and distributions to local Human Resources and Accounting needs with Seattle.

  • Distribute information to vessels and employees including: notices, newsletters, memos, checks, and other information as directed.

  • Schedule and coordinate meeting and travel arrangements.

  • Manage lobby, crew housing and conference room organization.

  • Ensure the office is sufficiently stocked with appropriate supplies and assist with general office tidiness and cleanup as necessary.

  • Assist with lunches and other events including setup and cleanup.

  • Compose and deliver purchase orders as needed.

  • Maintain the confidentiality of all sensitive communications.

  • Other duties as assigned.

Qualifications

  • Maritime industry experience required.

  • Knowledge of oil transportation industry preferred.

  • Proficient with Microsoft Suite (Excel, Work, Outlook, etc)

  • Working knowledge of office management theories and practices.

  • Ability to get along with office staff and vessel crew members.

  • Ability to deal with others using courtesy, tact, and good judgment.

  • Maintain the confidentiality of all sensitive communications.

  • Ability to understand and execute communications.

  • Ability to understand and execute complex oral and written instructions.

  • Ability to work independently on assigned tasks with minimal or no guidance.

  • Must be able to read, speak, write, type, and understand English in person and over telephone.

  • Valid State driver's license.

  • Valid TWIC or must obtain within 90 days after hire.

Job Condition and Environment

  • Required to sit for long periods of time.

  • Infrequent light physical effort required.

  • May be required to occasionally board tugs and barges.

  • Work with computers, fax machines, copiers, telephones.

Expected Hours of Work

  • Normal office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday.

  • May be required to work overtime based on the department demands and goals.

VIEW JOBS 10/10/2018 12:00:00 AM 2019-01-08T00:00 Overview Acts as Officer on Watch (OOF) and as second in command of the tug and barge. Must be able to understand and carry out the orders and directions of the Captain. Must be prepared to assume command in the event of incapacity of the Captain. Responsible for safely making and breaking tow with barges, transit locks and bridges during High and low water conditions. Responsible for maintenance and cleanliness of the vessel. Responsibilities The job responsibilities include, but are not limited, to the following: * Stands wheelhouse watch alternating with Captain * Oversees safety of vessel including all installed equipment and inspections thereof * Maintains chart and publication corrections * Instructs deckhands in seamanship skills * Assists Captain in barge landings and must be able to communicate distances and directions to captain accurately and concisely * Determine the need for and assign lookouts as necessary * Inspecting for cleanliness of vessel * Inventory supplies and order as appropriate * Monitor onboard usage to ensure supplies are utilized in an efficient manner * Assist on deck as needed Qualifications * Possess a valid Master of Inland Towing with Western Rivers and Radar Observer endorsement * Experience operating on the Port Allen Route and South of Baton Rouge , West to Houston * Must have Coast Guard approved firefighting training * Must have a valid First Aid/CPR/AED Certificate * Provide Proof of 8 HR HAZWOPER refresher or complete within 90 days of contracting with Harley Marine Gulf * Must be able to train assigned workers and to fairly evaluate subordinates * Must be able to instruct Deckhand on use of all tools and machinery onboard vessel * Must be able to understand and use information in cargo information cards and material safety data sheets * Must be able to communicate in English and effectively direct workers in assigning jobs and seeing them through to completion * Must be able to read, speak, and understand English over telephone and/or radio Job Condition and Environment * Ability to live in confined spaces and get along with crew members for extended periods of time * Must be able to perform the functions set forth in the attached job analysis and physically fit enough to pull heavy lines/hoses, lift, carry heavy items, climb onto barges and up and down ladders, and bending and twisting during boat/barge tie up * Exposure to all weather conditions (rain, ice, snow, heat, wind, heavy seas, etc.) * Must not be afraid of heights Expected Hours of Work * Contracted position on an as needed basis * Ability to adapt to a variety of schedules and hours * Able to work weekends, holidays, and at night.
