Job Summary
Provides clerical and administrative support to the ED leadership. Populates, tracks, and trends department KPIs, and statistics.
Minimum Job Requirements
2-4 years of Administrative Assistant or Secretarial experience
1 year of experience in Emergency Department (ED) or similar healthcare setting
Essential Duties and Responsibilities
Assists ED leader(s) with special projects and organizes meetings, conferences and other special events as required. Performs research/analysis for related projects and specific issues as required.
Responsible for composing/typing, editing, and proofreading correspondence, reports, letters, memoranda, and other documents. Prepares meeting minutes and other sensitive documents.
Facilitates the planning, organization and activities of ED leadership to ensure efficient and effective workflow coordination.
Provides support in problem solving, planning, and management as needed to ensure delivery of department's goals and objectives.
Responsible for maintenance of staff employee records. Edits KRONOS transactions in a timely manner and within established guidelines, as demonstrated with minimal edits by payroll department.
Orders and maintains office supplies. Submits PO's and contracts for approval and follows up on completion or renewal. Verifies and submits invoices in Ascend to be approved by leader(s).
Performs all other delegated duties such as copying, scanning, filing, faxing, and other special projects as set forth by the ED leader(s). Maintains files and records for the ED.
Prepares financial plans, budgets and forecast reports for ED leader(s) approval. Assists ED leader(s) with monthly expenses and invoices.
Provides direct support to ED leader(s) in greeting and assisting visitors, scheduling /maintaining calendars, coordinating travel arrangements & handling ED day-to-day public relations.
Receives and screens visitors and telephone calls for the ED leader(s).
Answers inquiries concerning activities & operations for department. Schedules & coordinates meetings. Prepares and schedules meetings for ED leader(s) and follows-up as needed.
Collects, analyzes, and reports ED operational, financial, and quality data.
Populates, tracks, and trends department KPIs, and statistics (i.e. LWBS, LOS, NHPUOS, Admissions, Transfers, etc.)
Collaborates with ED leadership to gather and receive staff professional licenses and certifications.
