I. Job Summary | Major goals and objectives.

The Operations Associate will be the project manager supporting 2-3 SVPs along with other key employees. Candidate will need to have strong project management and organizational skills to help execute both MNI and SVP initiatives which include (but not limited to): company event planning, monthly sales forecast compilation, employee engagement efforts, company calendarizations, charitable initiatives, as well as serve as lead liaise on corporate engagement initiatives. Candidate will have a positive outlook, be energetic, and experienced - calm under pressure. We are looking for a great addition to our Stamford team who can easily switch between responsibilities seamlessly. In addition, the candidate will work independently a significant amount of the time. Accustomed to working with all levels of internal management and staff, as well as with outside clients and vendors. Collaborative and proactive in nature. High degree and understanding of confidentiality.

  • Coordinate and prepare Executive materials for presentations (primarily PowerPoint, Excel) for meetings as requested.

  • Manage employee company initiatives, training, office management

  • Maintains appointment schedule by planning and scheduling meetings, conferences, and travel etc. for the SVPs.

  • Prepares monthly expense reports and assists with any audits that may arise.

  • Works with SVPs to project manage their initiatives (sales mailings, company initiatives, etc.) to ensure parties involved are apprised on timelines, responsibilities, and deliverables.

  • Manage projects, internal and external meetings, and events from budget planning through logistical coordination

  • Provide general project support as needed including ad-hoc reporting

  • Liaises and assists in filing of legal documents: coordination with Exec Team and Legal Department

  • Responsible for fielding and/or directing inquiries that come into the MNI Executive team.

  • Process, approve and manage select invoices, set up Vendors as needed in MarkView system (training provided).

  • Help manage on-site needs in Stamford corporate office space, as needed.

  • Help with SVPs with their projects ad hoc.

  • Help plan other regional meetings/company meetings as needed.

Other duties and special projects as assigned including but not limited to coordinating corporate snack orders, company lunches, etc.

III. Minimum Qualifications and Job Requirements | All must be met to be considered.

Education:

Bachelor's Degree

Experience:

5+ years of experience as an Executive Assistant, or similar experiences.

Specific Knowledge, Skills and Abilities:

  • Minimum of 5 years of administration and/or project management experience, ideally supporting multiple people at once.

  • Successful history of managing the calendars, expenses, and travel of multiple people.

  • Experience predicting, prioritizing, and assisting an executive's workload

  • Extensive technical skills in Powerpoint, Excel, Google Suite, Zoom, and Slack

  • Must be proactive and able to deal with ambiguity, prioritize own work and resources, and juggle multiple tasks in a manner transparent to the team, and work independently to achieve results with a high degree of accuracy

  • Exceptional communication and interpersonal skills and ability to interact autonomously with internal and external partners

  • Maintain the confidentiality of highly sensitive material with tact and professionalism

  • Possess an ability to multi-task and prioritize in a dynamic environment

  • Superior attention to detail

  • Excellent written and verbal English communication skills

  • A desire to learn, have fun, and work hard

  • A sincere willingness to help out

  • An orientation towards team success

In-office Expectations: This position is hybrid in-office (Stamford, CT), with the ability to work remotely for up to 2 days per week.
