Summary of Position

The Operations Associate supports senior management to ensure the company's day-to-day activities operate efficiently and effectively. In addition to supporting the general operations of the company, you will be tasked to help identify specific areas in which the company can improve financial and operational efficiency as well as implement new directives for growth. Being in a dynamic and fast-growing company, you will be supporting the recruitment of new talent and onboarding processes, as well as implementing new communications and processes in order to scale the company culture as efficiently as possible. Accordingly, you will help to manage all daily operations of the company, including scheduling, coordinating logistics and information technology for the office.

Duties and Responsibilities

  • Provide a wide range of complex administrative and general support; liaise with active vendors; arrange travel plans and associated paperwork. Answer and route phone calls, mail and e-mail messages; optimize and maintain filing system(s); purchase and maintain inventory of supplies for the office.
  • Provide operational support to the different teams, their managers and coordinate all initiatives and processes for optimization and/or implementation.
  • Assist with recruitment and human resource functions (e.g. screening, scheduling, interviewing, evaluating, hiring) for the purpose of maintaining adequate staffing, enhancing productivity of personnel and achieving objectives within budget.
  • Act as a liaison with the professional employer organization (PEO) and process new hire & benefit paperwork, including the coordination of annual Health Insurance Open Enrollment paperwork.
  • Assist with regular accounts payable and accounts receivable processes, as well as accounting activities.
  • Support the preparation of financial reports as needed.
  • Assist with the management and monitoring of annual budgeting process and strategic plan development, ensuring that allocations are accurate and/or that fiscal practices are followed. Monitor and make suggestions for internal controls, as needed.
  • As a lean, entrepreneurial company, flexibility and willingness to pitch in wherever needed is critical.

Requirements

  • Excellent academic credentials: Bachelor's or Masters Degree in Business, Operations, Finance, Accounting, or related field
  • Strong technical foundation in corporate finance, budget management, and/or accounting experience with knowledge of generally accepted accounting principles is strongly preferred
  • Highly motivated with sound judgment and critical thinking skills
  • Results-oriented individual with a proactive and creative approach to problem solving
  • Proven ability to successfully prioritize multiple, competing priorities with consistent attention to detail
  • Excellent verbal and written communication skills
  • Demonstrated interest in, or previous experience working in Africa and/or a start-up environment is preferred but not required

Position's General Duties and Tasks The HR Operations Sr. Associate delivers day-to-day support of Human Resources (HR) policies, programs and processes by providing quality real-time solutions to employee inquiries and requests. Applies working knowledge and understanding of internal HR policies spanning benefits, compensation, employment, employee relations, payroll, training and HRIS to assist employees. Ensures all employee information is entered and maintained within HR system(s) and corrects errors when needed. Ensures questions are addressed correctly and in a timely manner, and where needed, escalates and routes issues to the most appropriate HR individual / department. Duties Include: * Perform HR/related activities in the Federal CostPoint system and on the SuccessFactors platform, primarily pertaining to the employee life cycle (from Hire to Retire) * Assist with Tier One general employee relations inquiries such as policy content, basic leave, etc. * Act as a background/drug screening administrator and point of contact to vendors * To process the various HR transactions as per the laid guidelines/SOP * Manage calls from employees & other HR Staff (Proficient verbal communication skills) * To receive/respond to email inquiries and assigned tickets - (Proficient writing skills) * To perform tasks within the turnaround time and capable of multitasking on a day to day basis * To assist with New Employee Orientations for the Federal Civilian business unit , and new hire set up in the Federal CostPoint system * Demonstrate openess and flexibility to new business processes and new systems/technology changes * Entering and maintaining data in Human Capital Management (HCM) modules within SuccessFactors * Builds HR reports as required from various HR data sources (e.g., CostPoint, SuccessFactors). Basic Qualifications: * H.S. Diploma, college level coursework completed or completed undergraduate degree (preferred). * 2-4 years of HR related work experience. * Intermediate level proficiency in MS Office (Word, Excel, Outlook, PowerPoint) * Preferred Qualifications: * Any certification/ degree in HR will be given preference * Solid communication and interpersonal skills with proven experience in handling confidential information with utmost confidentiality, tact and diplomacy. * High level of accuracy and attention to detail * Knowledge and understanding of HR processes, programs and policies * Prior experience of HR master data maintenance * Knowledge of Deltek/CostPoint and SAP/SuccessFactors systems This position is only available to those interested in direct staff employment opportunities with NTT DATA, Inc. or its subsidiaries.
