Department Information

The Office of the Provost is responsible for ensuring the quality of student learning by overseeing the curriculum and leading new initiatives in higher education. The Provost and Executive Vice President for Academic Affairs is the chief academic officer for Colorado State University Pueblo. The Provost's Office ensures the integrity and quality of all academic programs including facilitating the establishment of programs, policies, procedures and standards, providing leadership to academic programs in supporting and continually enhancing curriculum, teaching, research, and outreach, and collaboratively working with faculty, students, and staff. The Provost primarily works with the academic deans, the Graduate School, the Faculty Senate, student government leaders, Extended Studies, the Office of Research & Sponsored Programs, Institutional Research, the Center for Honors and Leadership, the PACK Center and Career Center, several externally funded programs, and other areas not formally housed within academic affairs including the Registrar's office, and information technology.

Description of Job

This position will report directly to the Associate Provost for Academic Affairs and will also support the Director of Business Operations. This includes organization of work with assessment, HLC, curriculum, budget, etc. to support the mission and vision of the institution. The Operations Assistant is responsible for enhancing communication and coordination of projects between all divisions in Academic Affairs and outside the division for effective outcomes.

This position will work closely with office leadership in maintaining functional office operations and customer service, event planning and support, program support, data management, assessment and accreditation tasks, calendar management, and other important tasks to support the Provost's office

Primary Duties

Associate Provost Support:

Provide direct support to Associate Provost, including scheduling tasks and deadlines as appropriate; calendar management and files maintenance; gathering documents, compiling information and coordinating assessment and review processes. Provide institutional research and compliance support. Compile, verify, and document necessary information for reports as needed. Coordinate office purchases and travel.

Maintain working knowledge about Banner, DARS, Filebound, Starfish, and other software systems to provide support as arepresentative of Academic Affairs. This position will use critical thinking skills to evaluate problems, determine methods for possible solutions, as well as implement strategies for problemsolving.

Academic Affairs Support:

Provide direct support to the Director of Business Operations as appropriate. Gather documents and collate information to inform student appeals and faculty processes.

Demonstrate professional customer service to internal and external stakeholders and ensure compliance with internal and external procedures.

Provide support to the Provost's Office as necessary. Respond to inquiries regarding Academic Affairs, correspond with students, faculty, and staff regarding issues or complaints and work diligently to resolve any and all problems by following the established procedures and protocols.

Communications and Event support:

Manage outgoing written correspondence and telephone calls as needed. Work collaboratively and effectively with college deans, department chairs, and faculty to facilitate academic affairs initiatives.

Plan meetings for Academic Affairs team members, both virtual and in person, including but not limited to meetings with vendors, third parties, other campus and system partners, and preparing meeting agendas and minutes to coordinate follow-up tasks when necessary.

Provide support for meeting and event planning, which could include completing authorized business functions paperwork, creating invitations, addressing AV needs, making room reservations, and coordinating food and services as needed.

Ancillary Duties:

Other duties and projects as assigned.

Salary Range

$38,000-$42,000

Minimum Qualifications

  • Bachelor's degree from a regionally accredited institution

  • Demonstrated ability to effectively communicate in writing

  • Experience with basic Microsoft Office software including Outlook, Excel, Teams and Word

  • Experience in a position or activity that required effective verbal communication skills

  • Experience in a position or activity that required critical thinking and problem solving

  • Experience with and/or commitment to working with diverse populations

  • Experience working as part of a diverse team-oriented culture

  • Minimum of 1 year of full-time experience in higher education OR other applicable experience that demonstrates the ability to perform the essential functions of the position

Preferred Qualifications

  • Master's degree from a regionally accredited institution

  • Experience with project management

  • Experience with budget management

  • Experience working in a confidential environment

  • Experience with student academic records and FERPA

  • Experience with hosting conferences and/or meetings
