Job Title: Operations and Sales Assistant

Location: Southbury, CT (On-Site)

Job Overview:

The entry level Operations and Sales Assistant plays a crucial role in supporting both the operations and sales departments. This versatile position involves various administrative responsibilities, including client communication, document management, and maintaining office functionality. The assistant contributes to enhancing the overall efficiency and success of the organization.

Duties/Responsibilities:

  • Client and Dealer Communication:

  • Send lease/loan applications to clients and dealers.

  • Generate sales quotes and convey relevant details to Sales Managers.

  • Document Management:

  • Assist in obtaining MSRP labels and distribute sample leases to clients, Sales Managers, and dealers.

  • Client Data Management:

  • Review Proof of Income (POI) and credit check history for clients.

  • Retrieve clients deal information, including payment details, expiration dates, and verifying the presence of a current driver's license.

  • Research reasons for application declines upon request.

  • Document Distribution:

  • Send blank Personal Financial Statements and ID lists to clients and dealers as necessary.

  • Resend "forwarded" emails, as needed.

  • Database Management:

  • Add new dealers to the contact database.

  • Conduct car valuation, research quotes and run Carfax reports on cars to assess their eligibility for approval.

  • Monitor and report on the status of wires and document requirements for deals.

  • Reception and General Administrative Support:

  • Handle incoming calls, providing excellent customer service.

  • Take and forward messages.

  • Greet and assist visitors, clients, and guests.

  • Coordinate all shipments and generate overnight air bills.

  • Maintain office facilities, equipment, and supplies.

  • Manage in-office perks

  • Pickup supplies/lunch/breakfast/run errands.
  • Update and maintain the Front Desk manual.

  • Process incoming insurance mail.

  • Support other departments as needed.

Required Skills/Abilities:

  • Excellent Verbal and Written Communication Skills

  • Excellent interpersonal skills and ability to build relationships with a variety of service providers including clients, dealers, banks, and vendors

  • Precise/Attention to Details

  • Ability to Multi-task/Prioritize

  • Strong Computer Skills with Standard Office Software

  • Strong Time Management Skills

  • Maintains Confidentiality

  • Highly principled

  • Self-Directed and Results Oriented

  • Proficient with Microsoft Office Suite or related software

  • Ability to function well in a high-paced work environment

Education and Experience:

  • Associate degree required, BA/BS in related field preferred.

  • Reception experience preferred.

Hours: Monday

  • Friday, 9 am

  • 6 pm
