JOB SUMMARY

The Department of Residence Life, through intentional relationship building, provides an inclusive and supportive educational living environment where students develop the skills and knowledge to think critically, act wisely, and work skillfully to advance the common good. The Department is a team of diverse and uniquely experienced professional staff, graduate hall directors, and student leaders who collaborate, support, challenge, and have fun together.

The Operations and Finance Manager provides management and coordination with the Associate Director of Residence Life for the University's residence life system housing approximately 2,900 students. This position provides financial management of departmental operating budgets; recruits, hires, trains, supervises and evaluates undergraduate student staff during the academic year and summer, and supervises graduate student staff over the summer months; assists in planning and coordinating administrative activities for the office; manages the department's two primary operational desks in Koch Commons; manages key and card access for the department; coordinates summer housing and operational transitions into and out of summer housing; manages the department's website, digital signage, email, and social media; assists the director with departmental planning related to campus master planning and residence life long-range planning.

ESSENTIAL FUNCTIONS

Financial Management of Operating Budgets:

  • Review and process financial transactions.

  • Maintain over 50 budget indexes through monitoring, adjusting budgets, and producing reports.

  • Manage student billing for meal plans and room charges associated with academic year and summer housing.

  • Prepare budget materials for the Director's review and assist with budget proposals.

Manage central office, Koch Commons Desk, and various departmental operational functions:

  • Manage and facilitate in partnership with Facilities Management the Work Order/Request For Services process of residential students.

  • Manage the general operations of the Koch Commons and central office desks.

  • Manage annual projects related to move in, move out, summer conferences, and Koch Commons facilities.

  • Through supervision of student staff and personally being available to answer phone calls, serve students/guests entering the office, and responding to emails, provide exceptional student/customer service.

  • Manage key and card access for the department.

  • Manage the use of the residence life Frey Hall Guest Rooms, perform background information checks, census rosters and voting rosters.

  • Manage, in partnership with Disability Resources, the Emotional Support Animal (ESA) and Service Animal request/approval process and follow up with residents.

  • Perform general administrative duties as assigned.

Recruiting, Hiring, Training, and Supervision of Residence Life student staff:

  • Recruit and hire student staff to work the Residence Life central office desk and the Koch Commons desk. Cross-train student staff to work both desks.

  • Hire, train and supervise a graduate student/s in the summer to assist with summer conferences.

  • Hire, train and supervise undergraduate students in the summer to serve as Summer Conference Crew.

  • Assign, schedule and evaluate the work of staff.

Manage various Summer and transitional operations:

  • Assist in the coordination of Living Learning Communities, Housing Preferences, Early Arrivals, and Orientation Tours/Residence Life Sessions

  • Coordinate the transition of students in and out of summer housing and bill accordingly.

  • Assist with the operations of summer conferences through management and supervision on the Summer Conference Crew, preparation of spaces for guests, and services for guests.

Coordinate communications for the department:

  • Maintain the departmental website.

  • Create and maintain the digital signage throughout the residence halls.

  • Create content for and maintain the departmental social media accounts.

  • Communicate, in partnership with Conference & Event Services, with Conference Groups and Guests

  • Create marketing and design elements for the department as well as serve on a divisional committee for marketing and design work.

QUALIFICATIONS

Minimum Qualifications

  • Bachelor's degree

  • Five years of experience, preferably in higher education

Preferred Qualifications

  • Master's degree in related field

  • Experience in Student Affairs or Residence Life/Housing

  • Experience with supervision, marketing and communication, information systems, budgets, and social media
