Provide the required resources to support the Facilities team in various projects and initiatives. Operations Administrator will perform a variety of tasks including but not limited to building reports within MP2 software, Purchasing, Financial control and reporting, creating and manipulating Microsoft Word, Excel, Power Point and Access files, data entry and perform other duties and responsibilities as required.

Job Responsibilities:

  • Create and maintain files utilizing MP2 reporting module

  • Create and maintain various Microsoft Excel, Word, Power Point, Visio and Access files

  • Financial control and reporting verifying monthly general ledgers and tracking actual spend against budgeted amounts

  • Purchasing & Receiving - conveyor, forklift, building parts and misc. services

  • Processing Invoices verifying against PO's and account coding invoices for items purchased through Facilities

  • Inventory Management investigating problems and making adjustments to inventory levels utilizing Infor's MP2 software

  • Call Center and Dispatching receive and dispatch calls utilizing excellent customer service skills

  • File Management maintaining physical and electronic files in a neat orderly fashion

  • Asset Management maintaining asset data in MP2 software and various Microsoft files

  • GSM monitoring graphic systems monitoring of the conveyor system

  • Administrative duties for Facilities Leadership Phones, presentations, organizational charts

  • Maintaining Org Charts in Microsoft Visio

  • Creating Quarterly Newsletter

Qualifications

  • 3-5 years in an administrative support role

  • Highly computer proficient in all aspects of Microsoft Office (Excel, Word, Power Point & Access)

  • Proficient with extensive formulas used in Microsoft Office software files

  • Solid interpersonal and organizational skills

  • Exceptional math skills

  • Knowledge of MP2 maintenance management software a plus

  • Financial accounting experience a plus

  • Possession of an Associate's Degree or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed above.

RESPONSIBLITIES: Vendor Management * Responsible for tracking & timely movement of inventory (finished goods & components) * Assist with Portal transactions (Partners with Inventory Control, Contract Manufacturers & Suppliers) / troubleshoot issues such as quantity and date discrepancies. Inventory Management * Responsible for tracking & timely movement of inventory (finished goods & components) * Responsible for expediting component shipments & communicating with planner's impact on production. Strong partnership with Mast Global Transportation and Vendor base will be necessary. Transaction/Data Management * Daily management of production issues at Vendor Base * PO date management via vendor communication and Sales and Operations Planning Process * Financial Excess Reporting to support entire Operations Team * Partnership with Quality team to review "holds" and ensure samples are processed in a timely manner Reporting * Responsible for generating reports: * Open Orders (weekly) * Production Posting Report (daily/wkly) * New Article Launch tracking and set up in SAP systems via Chinese Article Tool * Others, as required (ad hoc) Key Meetings * Actively participate in vendor meetings * Actively participate in Sub-brand team meetings * 1-on-1 meetings with team members & Manager, as required Talent Management and Development * Assist in Onboarding new associates * Strong ability to prioritize and multi-task * Exceptional attention to detail * Flexibility to work across multiple time zones * Ability to document new processes where needed MANAGERIAL REPONSIBILITIES: * N/A Qualifications QUALIFICATIONS: * 0-2 years of planning experience EDUCATION: * Bachelor's degree, or equivalent experience.
