Job Description Summary:

Under general supervision provides administrative support of DCS field operations. Duties include but are not limited to, customer service, billing, coordination with payroll, reporting and various other tasks.

Job Description:


  • Answer telephone and provide assistance as needed.

  • Coordinate with payroll on issues relating to DCS drivers.

  • Reporting functions for DCS field operations as needed.

  • Ability to conduct and complete projects in a timely manner with minimal supervision.

  • File management

  • Compiling reports

  • Processing invoices


  • High School diploma or equivalent and minimum of four years experience.

VIEW JOBS 3/15/2019 12:00:00 AM 2019-06-13T00:00 Job Description: Application Closing Date: April 12, 2019 Campus Title: Summer Conference Assistant, Housing Operations Department: Housing Operations FLSA Status: Non-exempt Funding: Trust-Fund Bargaining Unit: N/A Job Type: Part-time Seasonal Timeframe: Summer Shift: Varies Regular Days Off: Varies Supervision Received: Associate Director of Housing Supervision Exercised: None Salary: $12 per hour / 35 hours per week General Statement of Duties: Under the supervision of the Associate Director for Housing and/or designee responsible for Summer Conferences, Conference Assistants (CAs) are responsible for the daily operations providing comprehensive services and assistance for summer residential conference groups as well as summer residential students. Groups may be internal to the University or external. Duties and Responsibilities: Duties include but not limited to: Essential: * Be able to perform light physical tasks, including making beds, doing laundry and carrying up to 25 lbs. * Serve concierge hours as needed on evenings and participate in an on call duty rotation. * Provide top notch customer service for all summer guests to the University in and out of the residence halls. CAs will be the frontline of our conference hospitality, and will be expected to present a positive image for the University. * Wear staff clothing as instructed and appear neat and professional when working check-ins, check-outs, and other duties. * Assist the Professional Staff with keeping an updated, accurate and complete roster of all conference guests. * Perform direct support roles with conferences and groups including, but not limited to, equipment support, guest transportation, and other duties as assigned. * Abide by all applicable laws and University policies and promptly report any law or policy violations. Any CA found to be in violation of such laws or University policies will be terminated. Any CA with knowledge of a violation who does not report this information to a supervisor or member of the Residential Life staff is subject to termination. * Prepare and maintain multiple buildings for summer housing including managing keys, creating bulletin boards and door tags, doing laundry, setting out toiletries, making beds, assembling welcome packets, and other responsibilities as assigned. * Attend conference meals to provide customer service. Report meal feedback to supervisor within a 4 hour time frame. * Serve as a resource and provide support to summer residential students. Including but not limited to; mediating roommate conflicts, responding to emergencies, reporting facilities concerns, and enforcing University policies. * Assist the Department of Housing Operations with administrative tasks as the summer conference schedule allows. Requirements: Qualifications: * Must be in satisfactory disciplinary status as determined by the Department of Housing Operations. * Must be reasonably familiar with academic programs, University and Housing Operations policies and procedures, as well as resources and activities available at the University. * Preference may be given to applicants enrolled as full-time students at Westfield State University in Spring 2019 and/or Fall 2019. * Preference may also be given to students that are certified lifeguards and/or certified to drive a campus shuttle (training will be provided.) Additional Information: Terms of Employment: * Actively participate in CA Training beginning May 20th and attend van safety training with Public Safety if applicable. * Work conference check-in and check-out assignments. Check in duties include; issuing keys, securing signatures on various documents, and answering questions. Check outs may involve receiving keys, verifying damage reports, and completing conference evaluations with leaders and guests. * Attend weekly meetings with Housing Operations staff. Failure to attend these meetings may lead to termination. If a CA has a conflict with a meeting time, he/she must notify Professional Staff in advance. * Check Staff mailbox and University email daily. * Be fully available to the Summer Conferencing Program, including conference weekends and evenings. Any requests for large blocks of time away including weekends should be made with Professional Staff in advance and may not be approved. * Understand that other job responsibilities or commitments may conflict with responsibilities of the CA position. CAs should schedule their responsibilities (staff meeting, meetings with supervisor, check-ins, check outs, concierge hours, etc.) prior to making other commitments. CAs need to be willing and able to work a flexible schedule, conference needs may not always be able to be anticipated in advance.
