The Operations Administrative Assistant role provides support to the management team in a variety of tasks. In this role, you will help drive a positive and engaged associate base by supporting the HR and Operations team as well as the warehouse floor associates as the front line HR representative in an Amazon Fulfillment Center.

Job Description:

  • Driving a positive and engaged associate base by participating in and communicating engagement activities and other employee relations related tasks

  • Escalating appropriately to the HRA or Sr. HRA team when discrepancies or escalations arise with associate interactions such as LOA, accommodations, or other employee relations issues

  • Supporting the HR team with new hire orientation by helping with necessary I-9 and paperless new hire employment documents, assigning and maintaining lockers and ensuring accurate timekeeping for those new hires

  • Assisting associates within the FC for access to HR services including guiding them through self-service options, when applicable and submitting trouble tickets on associates behalf, if needed as well as clearing trouble tickets assigned to the site

  • Partnering with HR and Managers on NACF Policy and Procedure to help drive productivity, quality and safety including coaching and corrective action, recommendations including termination and monitoring for delivery

  • Posting productivity rates for associates quarterly to help them meet daily goals

  • Auditing time cards to communicate hours worked by associates to comply with Amazon standards for max time worked per day and week, clearing exceptions and researching, correcting and communicating attendance trends for unexcused absences for hourly associates and communicating that information to managers for follow up

  • Scrubbing rosters for associates with zero hours, monitoring the attendance hotline and researching individual time cards to maintain a clean roster

  • Following up on vacation approval requests as required

  • Submitting requisitions and ordering SWAG, supplies and other items for on-site events through COUPA to maintain appropriate inventory

  • Updating and communicating overtime through hotlines, visual postings and trackers when necessary including executing Call Em Alls to associates

  • Ability to learn and navigate internal Amazon systems as resources to execute overall job duties

  • Ability to work up to ten hour shifts with or without reasonable accommodation on a warehouse production floor

Additional responsibilities may also include:

  • Assisting on the floor when needed during seasonal peak times or based on business needs

  • Acting as a communication coordinator within an FC which may entail updating visual communications, ACID TV displays and creating weekly newsletters

  • Conducting HR Gembas or Champion for the Associate Interviews

  • Assisting managers with completing investigations by taking witness statements or making recommendations

  • Creating reports and assisting operations with research and analysis of trends with attrition, attendance, unpaid time, roster management

  • Using People Portal, People Insight or HRBI reports to research and analyze data to impact HR metrics and working on projects geared toward impacting HR metrics such as attrition and attendance

Ensure that all processes are being followed in the completion of work tasks. Provide instruction and guidance to employees and audit work processes and products to confirm production specifications are met. Oversee operations, maintenance, and purchase and stocking of supplies and raw materials. Maintain and updates daily production records and produces reports as necessary. Ensure that safety procedures are followed by all employees. RESPONSIBILITIES * Assign tasks, team member direction * Leads team of Hoist Operators, Picker Packers and temporary employees as per work instructions and procedures. * Monitors work flows and adjusts resources appropriately * Daily verification of temporary employees reporting as scheduled, notification of any temporary employee absences, communicate temporary employee performance problems, assigns temporary employees job tasks and accurately "task" each employee into the computer terminal * Support daily facility operational goals by maintaining good communication between operational units * Interpret specifications and answers job order question for co-workers * Ensure that equipment is properly maintained and operated in a safe manner * Establish and/or modifies work procedures to meet production schedules * Analyzes and resolves work problems, assists workers to achieve work goals * Establish and maintain credibility throughout the organization with the Leadership Team and other members of Senior Management as an effective problem solver; be viewed as approachable and as a mentor to people on facility operations issues * Coordinate scheduling of temporary employees with applicable department managers * Participate in period training/development programs as required of the position * Working knowledge of all basic job functions and equipment that supports the immediate operational area where applicable: Hoist Operators (Receiving, Nerve Center, Shipping), Picker Packers (Returns, Loose Piece, Assembly) * Understands the major "cause and effect" relationships between operational areas * Supports management team as liaison between manager and operations team in supervisor absence * Working knowledge of all facility coordinator position responsibilities. * Performs other duties as assigned or requested. * Ability to coordinate facts, tasks and people * Effective communication skills * Ability to understand, interpret, and integrate procedures * Customer oriented; both external and internal * Strong attention to detail * Organized approach to task completion * Demonstrated proficiency with work tasks of the assigned department * Basic computer literacy * Ability to stand for extended periods * Ability to lift and handle cartons up to 60 pounds on an occasional basis and up to 40 pounds on a continuous basis * Demonstrated ability to operate mobile equipment (i.e. forklift) and work at heights up to 40 feet. * Ability to read and write in English and interpret written instructions * Strong basic math skills and sound mathematical reasoning * Ability to problem-solve * Must be in good standing with no current final warnings * Ability to work in a fast-paced manufacturing environment LSC Communications Cranbury NJ
