In this role, you will work with a team of industry experts to help the world's leading companies solve their most difficult problems. You will partner with seasoned leaders, technical specialists, and subject matter experts to deliver the highest quality solutions to our clients with consistency and accuracy.

What You'll Do

The Operational Support Specialist is integral to ensuring Design Group project managers adhere to our standards to ensure disciplined and consistent project execution. This role involves close collaboration with project managers and leadership to ensure accuracy in the status of projects and transparency in regards to project risk. The specialist will support the development and maintenance of the project management processes, provide essential administrative support, and ensure the highest standards of organizational effectiveness. Support daily operations by ensuring project managers are adhering to project management best practices. This includes guiding each project manager by reviewing and verifying the accuracy of status reports, creating, and checking off task lists, and identifying any critical compliance deviations.

  • Assist in the development of training presentations and documents.

  • Strive to enhance communication between project managers and leadership, ensuring the use of standardized templates for consistent project status reporting.

  • Attend project review meetings, focusing on documenting key points.

  • Monitor progress on follow-ups and resolutions by organizing task lists and managing action items.

  • Offer advanced administrative assistance by efficiently managing help desk requests, including initial screening and appropriate departmental routing.

  • Support the development and implement a reporting framework to identify and highlight trends in noncompliance, ensuring both accuracy and efficiency in communication and operational processes.

  • Ensure the accuracy of monthly KPI reports, documenting the actions required of the Project Manager to maintain accountability.

  • Manage a cyclical schedule of tasks and deliverables in alignment with monthly presentations to the senior leadership team. Additionally, during periods of lower activity, the role may require undertaking extra administrative tasks to effectively manage fluctuations in workload around these peak reporting times.

What You'll Bring

  • Proven background in providing administrative support, ideally in a setting related to project management.

  • Exhibits strong organizational skills, along with a keen ability to analyze and solve problems effectively.

  • Demonstrates excellent communication abilities, capable of engaging with various levels of the organization efficiently.

  • Skilled in Microsoft Office Suite (Word, Excel, PowerPoint) and capable of quickly learning additional software tools as required.

  • Capable of juggling multiple tasks simultaneously and prioritizing them effectively in a dynamic environment.

  • A bachelor's or associate's degree in business administration, project management or related field (preferred)
