Job Purpose:

  • The Operations Support Specialist is responsible for providing direct support to the Operations Support Pillar for the Parts Distribution Centers (PDC).

  • Manage and interpret regulatory requirements that affect the transportation of service parts globally.

  • This position will work with each affected function to identify and implement the actions necessary to achieve or maintain compliance.

Key Objectives/Responsibilities:

  • Process Implementation, Improvement and Oversight

  • Implement a continuous process improvement system within the pillar in a systematic and structured manner.

  • Regulatory issues discovered during outbound process. Parts are non-compliant to DG regulations due to various packaging or system issues. Resolve expeditiously to get end customer ordered part.

  • Conduct routine Dangerous Goods PDC audits and work with PDC(s) to resolve assessed findings

  • Physical audits/ relationship building with 3PP and internal departments/ process improvements as identified.

  • Process mapping for material flow

  • Department SWI review & PDC operator work instructions

  • Frustrated Shipment Resolution

  • 25%
  • Provide additional support as directed by the Pillar lead.

  • Assist in solving immediate concerns with PDCs regarding frustrated shipments.

  • Frustrated Shipment resolution, prevention, support

  • Identify/review root causes to prevent further issues and disruption of product to market due to frustrated shipments at UPS and Freight Forwarder

  • Conduct weekly meeting with Freight forwarder to resolve International frustrated shipment and work with PDC operations to find the root cause and correct.

  • Weekly call with EH&S to all NAFTA PDC's providing KPI information and OPL's on current frustrated shipments

  • Maintain monthly KPIs

  • Supply Chain Support

  • Networking cross-functionally to assist PDCs, internal packaging operation and 3PLs resolving concerns

  • Maintain the customer facing mailboxes addressing issues and any other situations raised by the customer (Dangerous Goods Transportation issues)

  • Conduct routine engagement meetings w/PDCs

  • Hazardous part labeling audit & resolution in the PDC's

  • Conduct routine engagement meetings with PDCs

  • Update and maintain discrepancy log

  • Monitor and maintain on a daily basis DG inbound mailbox requests

  • Incorporate Hazmat functions into PDC SWI's

  • Employee Training

  • 20%
  • Ensure stakeholders / employees (dealers, warehouse staff, etc.) are fully aware of regulations and responsibilities regarding Country of Origin and Dangerous Goods.

  • Ensure all documentation is current and up to date.

  • Ensure employee training for Dangerous Goods is current

  • Update and support program compliance management system: SWIs, KPIs, quality documents, etc.

  • Maintain lists of approved materials used by the PDCs (guidance documents or equivalent) to ensure proper packaging.

  • Develop Dangerous Goods training material and One Point Lessons (OPL)

  • Quarterly update and gap analysis of the Hazmat training matrix spreadsheet (list of function specific employees ensuring training compliance)

  • Dealer Hazmat Training

  • Manage 3rd Party Provider activities relating to dealer training, update buy/ sells, preparing US and Canada dealer lists, quarterly true ups for invoices and prepare for 3rd quarter yearly billing and invoicing.

  • Maintain Sharepoint site for DG information

  • OS_Draft SWI for CGCW-EHSENVDOT110

  • HMT Awareness Course

Required Education & Qualifications:

  • A four-year college degree is preferred but not required some college or university with course study in basic science.

  • Knowledge of Microsoft Office Suite, including: Word, Excel, Access, SharePoint, PowerPoint and Outlook.

  • Requires excellent verbal, written and presentation skills, including the ability to translate complex legal and regulatory requirements/issues into terms readily understood.

  • Consistently demonstrates the highest standard of professionalism and integrity in situations involving minimal guidance and supervision.

  • Decision-making skills, and strong relationship-building and networking skills

  • Requires customer service skills.

  • Some travel required.
