Job Description:

Madison College is seeking a dynamic One Stop Services Coordinator to join our team and play a pivotal role in empowering student success.

The One Stop Services Coordinator will be a key player in ensuring seamless and efficient student support services. This role demands proficiency in processes related to Student Affairs - including Admissions, Registration, Financial Aid, Student Orientation, Testing, Information Technology, Academic Advising and Support Services, Basic Needs Resources, Financial Literacy, and Student Payments. The coordinator will use their knowledge to resolve escalated issues for prospective and current students, offering personalized guidance to navigate various processes and service areas effectively.

As a vital member of our Student Access and Success unit, the One Stop Services Coordinator will collaborate closely with multiple student service units such as Enrollment Services, Financial Aid, Student Payments, Academic Advising, and Dean of Students. In this role you will deliver college-wide programs that promote retention, graduation, and persistence.

The One Stop Services Coordinator currently reports to the Director of College Access and Experience Programs. While primarily aligned with the Student Access and Success unit, this role also receives cross-functional, informational support from managers in Student Affairs.

A full-time, hourly position with flexible hours to accommodate students' needs. The role requires Monday to Friday availability from 8:00am to 4:30pm, with extended hours until 6:00pm on Mondays and Tuesdays, as well as occasional Saturdays for the first three (3) weeks of the semester to accommodate student needs.

Essential Responsibilities:

Student Assistance and Support:

  • Serves as the first point of contact to prospective, applied, and current students covering a wide range of detailed information to assist and assess application, funding, or program eligibility criteria and deadlines.

  • Handles all in-person inquiries from students, parents, or college staff seeking to access services related to Student Affairs.

  • Assists students in completing online processes including admissions applications, Madison College account creation, advising and registration sessions, FAFSA applications, Emergency Funding, and course registration (add/drop).

Cross Collaboration and Triage:

  • Answers general questions including but not limited to, inquiries and completion of items related to the application for financial aid (FAFSA), verification, Satisfactory Academic Progress, loan program eligibility and requirements, scholarships, state and federal awards, and work study opportunities. Make appropriate referrals to other service areas when necessary.

Administrative Support:

  • Serves as point of contact for walk-in appointments and identifies staff from Student Affairs for student support for escalated or referral needs.

  • Intakes forms from Admissions, Financial Aid, Records, and Veteran Benefits for imaging and communication management software inclusion.

  • Maintains a commitment to the college mission, vision, and values.

Knowledge, Skills & Abilities:

  • Skill in communicating effectively and professionally, both orally and in writing.

  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.

  • Knowledge and application of financial aid regulations, procedures, methods, and terminology on a federal and state level.

  • Skill in establishing and maintaining effective working relationships.

  • Ability to respond promptly and thoroughly to requests from students, staff, faculty, administrators, and community members.

  • Working knowledge of financial aid and college databases and websites such as PeopleSoft, CRM, OnBase, FAFSA, and Navigate.

  • Knowledge of college processes and procedures in admissions, financial aid, registration, and records, as well as curriculum offerings, program and degree requirements, certifications, and other pertinent information to deliver program content based.

Minimum Requirements:

  • Associate degree from an accredited College or University in Education, Human Services, Social Work or related field or equivalent working experience.

*Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.

  • Two (2) years (4000 hours) of directly related work experience in student services or a customer service role within a post-secondary setting.
