Onboarding Specialist
Innovative Refrigeration Systems, Inc. is looking for a results-oriented Onboarding Specialist in Lyndhurst, VA. In this role, you will guide new hires through a seamless onboarding process, ensuring their successful integration into our organization. As an onboarding specialist, you will collaborate closely with various departments to coordinate resources, conduct orientation sessions, and manage logistical needs. This role is critical to ensure that new employees are set up for success when joining the organization.
Innovative Refrigeration Systems, Inc. is a premier custom design build contractor for industrial refrigeration systems, providing design, fabrication, construction, commissioning, and service in-house.
Job Role: The Onboarding Specialist plays the role of face of the company for all new hires, and will play a critical link between the hiring team and the new employee's supervisor. This role ensures new employees join the company successfully, smoothly, and with all required documentation and training, have a positive initial experience, and will also coordinate logistics for field employees on the Construction & Service teams (who make up the majority of new Innovative staff).
Key Duties:
Act as the primary point of contact for all new hires
Assisting new hires with the completion of the necessary paperwork, including employee forms, benefits enrollments, and IT setup
Coordinate with recruiting, hiring managers, and other relevant stakeholders to schedule and conduct orientation sessions for all new hires
Schedule and coordinate onboarding activities, providing guidance and support to new hires throughout the process
Conduct orientation sessions to introduce new hires to the company's culture, values, policies and procedures
Develop and cultivate relationships with various levels of management, candidates, and external recruiting sources
Conduct candidate background, reference, and drug testing checks
Maintain and present staffing status reports weekly
Create reports, presentations, and work on ad-hoc projects as requested
Assist with coordinating travel of field employees
Identify opportunities to streamline and optimize the onboarding and travel coordination processes, proposing and implementing solutions to enhance efficiency and effectiveness Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
Manage internal databases with a high level of integrity
Manage logistics of company merchandise to field teams
Assist in fleet management for company vehicles
Manage logistical travel issues with field and service employees. Will require after hours support
Requirements:
Excellent relationship building skills
Ability to work well under pressure and tight timelines
Ability to handle ambiguity and quickly changing goalposts
Excellent communication and interpersonal skills to build rapport with new employees and establish a positive onboarding experience
Attention to detail and organizational skills to coordinate and manage multiple onboarding processes simultaneously
Ability to be a team player while working independently
Ability to work with Microsoft suite of products
Preferences:
Bachelor's Degree in human resources, business administration or a related field preferred
Experience in onboarding and recruitment with a proven track record of successful onboarding processes and employee retention
Strong knowledge of onboarding best practices
Existing knowledge or ability to learn all relevant employment laws
