The Onboarding Compliance Coordinator is responsible for monitoring the onboarding process for all United States based Company Owned Outlets hires and rehires including, but not limited to: collection of Company and legally required documents, employment eligibility (I-9) and employment authorization (E-Verify) processes, in accordance with Company policy, Federal and State guidelines.

This position will be responsible for:

  • Monitor and audit I-9 forms and supporting documentation for timely completion and accuracy following Federal guidelines. Assist with inquiries regarding validity of I-9 supporting documentation and procedural questions. Monitor and ensure completion of I-9 and E-verify reverification process when applicable. Monitor and audit completion and timely submission of Company and legally required documents (e.g. FACIPA, Jury Trial Waiver, State required notifications) and ensure delivery to proper repository.

  • Perform E-Verify process through Human Capital Management (HCM) system (Workday) for new hires and rehires within 3 days of start date to ensure employment authorization, following Federal and State guidelines. Notify and coach field leadership on E-Verify exception and reverification requirements for processing. Monitor E-Verify exceptions to final resolution and communicate to appropriate parties.

  • Conduct periodic audits of I-9, E-verify, Company and legally required documents to ensure compliance and to identify exceptions. Prepare exception reporting and notify appropriate field and corporate leadership of noncompliance following established escalation guidelines

  • Identify opportunities to streamline business processes and recommend procedural changes. Participate in and support various projects, as requested.

Requirements/Preferences include:

  • High School Diploma or equivalent

  • Strongly prefer experience with HCM systems (Workday preferred), or equivalent technical aptitude

  • Strongly prefer familiarity with HR concepts, practices and procedures

  • Strongly prefer experience with I-9 and E-Verify processes and policies

  • Must have the ability to work in a high volume and fast-paced work environment; must have ability to prioritize work

  • Must be organized, analytical, detail oriented and have a sense of urgency for time sensitive delivery

  • Must operate in a strict climate of confidentiality and exercise discretion in conducting day-to-day activities

  • Must have ability to effectively communicate ideas verbally and in writing

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Internet Explorer)

Ensures alignment of Procurement strategic initiatives with overall procurement and business strategy. Accountable for continuous improvement of core processes and tools. Accountable for efficiency, standardization and complete transparency of processes and tools for the procurement organization globally. Responsible for coordinating with the GY Sustainability team to help ensure compliance with sustainable sourcing, conflict minerals, CTPAT and other related compliance topics. Also responsible for overseeing the reporting of quarterly, semiannual and annual US diversity spend. Develops relationships with procurement category and operations leadership and serves as primary global contact to all inquiries related to compliance items related to the procurement policy and playbook. Primary Responsibilities * Driving adherence to the Global Procurement Policy and Playbook: Responsible for organizing, scheduling and leading the policy and playbook review meetings with the Procurement Leadership team. Working directly with the Regional Procurement Operations Directors, Sourcing Directors, Senior Sourcing Directors and their teams to address compliance and policy related matters * Compliance: Leads and partners with internal compliance resources to identify new and changing regulations and develop processes to meet requirements. Manage ongoing measurements and monitoring of procurement health metrics, adherence to key compliance elements and/or project status to deadlines & budget. * Diversity Reporting Requirements: Responsible for reporting quarterly, semiannual and/or annual US diversity spend with applicable customers or government agencies. Participating in internal GY strategy discussions as it relates to GY's diversity sourcing strategy and related processes. Ensure the team has coordinated the participation in the required diversity events throughout the year. Schedule, conduct and lead periodic meetings with GY team members to share diversity spend metrics, targets and year to date actuals. * People Leadership/Internal Stakeholder Engagement: Direct manager of global BPE or Compliance team; Develops relationships with procurement category and internal audit leadership and serves as primary global contact for all inquiries related to business processes and policy. Responsible for making sound decisions to support goal of best in class business & compliance processes * Building Organizational Capability: Develop network and business relationships with Procurement leadership team members as well as the various business stakeholders that the BPE compliance and policy team interacts with. This will lead to the identification of additional value-added projects or topics that the team can help improve Required Education and Experience * Bachelor's Degree in Supply Chain, Engineering, Business or a related field required * Master's Degree in a related field, Project Management Certification preferred * 5+ years of experience in Procurement, Internal Audit/Corporate Controls, or project management experience required. Previous strategic sourcing experience recommended. Experience in a related industry preferred. * Previous experience developing organization to monitor compliance with relevant laws and statute and make recommendations on how to improve internal controls and governance processes.
