The Onboarding Compliance Coordinator is responsible for monitoring the onboarding process for all United States based Company Owned Outlets hires and rehires including, but not limited to: collection of Company and legally required documents, employment eligibility (I-9) and employment authorization (E-Verify) processes, in accordance with Company policy, Federal and State guidelines.
This position will be responsible for:
Monitor and audit I-9 forms and supporting documentation for timely completion and accuracy following Federal guidelines. Assist with inquiries regarding validity of I-9 supporting documentation and procedural questions. Monitor and ensure completion of I-9 and E-verify reverification process when applicable. Monitor and audit completion and timely submission of Company and legally required documents (e.g. FACIPA, Jury Trial Waiver, State required notifications) and ensure delivery to proper repository.
Perform E-Verify process through Human Capital Management (HCM) system (Workday) for new hires and rehires within 3 days of start date to ensure employment authorization, following Federal and State guidelines. Notify and coach field leadership on E-Verify exception and reverification requirements for processing. Monitor E-Verify exceptions to final resolution and communicate to appropriate parties.
Conduct periodic audits of I-9, E-verify, Company and legally required documents to ensure compliance and to identify exceptions. Prepare exception reporting and notify appropriate field and corporate leadership of noncompliance following established escalation guidelines
Identify opportunities to streamline business processes and recommend procedural changes. Participate in and support various projects, as requested.
High School Diploma or equivalent
Strongly prefer experience with HCM systems (Workday preferred), or equivalent technical aptitude
Strongly prefer familiarity with HR concepts, practices and procedures
Strongly prefer experience with I-9 and E-Verify processes and policies
Must have the ability to work in a high volume and fast-paced work environment; must have ability to prioritize work
Must be organized, analytical, detail oriented and have a sense of urgency for time sensitive delivery
Must operate in a strict climate of confidentiality and exercise discretion in conducting day-to-day activities
Must have ability to effectively communicate ideas verbally and in writing
Proficient in Microsoft Office Suite (Word, Excel, Outlook, Internet Explorer)
