The Senior Offsite Medical Secretary provides secretarial support to the supervising physician in an offsite practice setting. Responsibilities include a high volume of telephones, reception, check in, registration, scheduling coordination, including OR scheduling and confirmation, authorization/precertification, chart preparation and maintenance, and all other duties as assigned. Prepare stat reports and maintain up to date logs and provide follow up. Work directly with Supervisor and Administration to maintain physician schedule up to date on daily basis.

Responsibilities

1.Clerical, reception and telephone support for practice. Take detailed clinical phone messages for clinical team.

2.May schedule and coordinate appointments for patients within practice and with outside specialties.

3.Acquires insurance authorizations for procedures and tests ordered by physician.

4.May enter orders into the electronic medical record (EMR) system or prepare prescription refill requests on behalf of the physician, subject to review and approval.

5.Maintains logging system as required for tracking test results.

6.May be responsible for check in and registration.

7.Assist in the maintenance of medical charts and/or electronic medical record (filing, Op Reports, test results, home care forms).

8.Prepares patient charts, reviewing for appropriate and needed records.

9.May create pre-admissions and obtain necessary consent forms for scheduling purposes.



  1. Retrieves physician correspondence from dictation service and edit where necessary.

  2. May schedule surgeries/procedures or work in conjunction with Surgical Coordinator team to verifying times with patients; preparing charts, pre-admissions and consent forms as necessary.

  3. Prepares physicians mail correspondence and may retrieve mail from mail room.

  4. Helps direct patient flow during practice hours and may room patients.

  5. Discuss payment arrangements with patients prior to office procedures/visits, in coordination with the surgery finance authorization team.

  6. May order supplies, review stock of supplies, or put away supplies.

  7. Collect patients copayment/account balance, as well as needed insurance referrals.

  8. May process specimens for in office procedures, completing necessary requisitions with MD approval, and ensuring specimen is sent to appropriate department for review.

  9. Assist with credentialing as needed.

  10. May compile documents for surgical billing packages (i.e. surgical encounter forms, insurance information, consents, etc..)

  11. Maintains, adjusts and confirms patient office schedule.

  12. May participate in revenue cycle processes.

  13. May perform medical scribe functions.

  14. Payment posting and record keeping.

  15. May open and close physician schedules, and work to build template or make changes as needed.

  16. May perform various screenings and confirmation calls in advance of clinic session.

  17. Assist supervisor/manager with staff schedules and coverage.

  18. If qualified, may be responsible for Medical Assistant duties, such as performing venipuncture and/or EKGs, accompanying patients to exam/procedure room, assisting patients as needed with walking, transferring and dressing, as well as collecting specimens and point of care testing, preparing for exam, etc. May assist physicians with various procedures, takes vital signs, relays instructions to patients and or families; answers calls and provides pertinent information.

  19. Performs other duties as assigned


Qualifications

  • Associates Degree or High School Diploma/GED plus 2 years of related experience. Graduate of a Medical Assistant Program if performing clinical duties. Certified Medical Assistant required if performing Medical Assistant duties
  • 5+ years of administrative experience, preferably in a health care/practice environment

The Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $26.2731 - $28.8241 Hourly. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
