Responsibilities

The Office Services Assistant, Underwriting oversees operations on a day-to-day basis and provides support to Underwriting Operations Manager in areas of facilities, business continuity, and employee engagement and Underwriting Operations tasks.

Office Services:

  • Serve as the point person to ensure the look of the office is maintained and ran smoothly.

  • Assist with Office and Corporate Business Continuity planning and serve as the Floor Warden for coordinating facilities emergency planning.

  • Oversee mail and supply operations.

  • Handle workstation moves, onboarding, badge management, new hire equipment needs, and terminations.

  • Collaboration between IT and Underwriting Operations which requires hand-on technical knowledge of common issues and provide proactive assistance.

  • Carry out regular checks of space to identify areas of improvement or issues which need resolution. Work with appropriate home office personnel & vendors to satisfy expectations of the office look and feel. Such scope of maintenance responsibilities may include identifying furniture, cleaning, electrical, and plumbing needs. Upkeep of current equipment is critical for overall promotion of efficient working environment.

  • Liaise with office vendors, including property management, plants and florists, coffee, supplies, mail, printers, etc. to provide exceptional service for staff amenities and office services.

  • Assist with department and companywide employee engagement initiatives such as in-house or off-site events.

Underwriting Operations:

  • Provide support for special projects that arise out of US Managers projects such as updating information in the Underwriting system.

  • Handle monthly follow-up for outstanding premium, deductible and audit.

  • Handle monthly claims insured deductible notifications.

  • Act as a resource to the Operations Specialist team for Loss Runs & Incoming Digitized Mail

  • Provide submission Clearance support when needed.

  • Ability to travel as needed.

  • Other duties as assigned.

Qualifications

  • High School Diploma required; Undergrad degree preferred.

  • Prior experience with Office Services, or Administration.

  • Insurance experience not required.

  • Display clear and concise verbal and written skills.

  • Communicate technical information effectively to non-technical audiences and present information in skillful and enthusiastic manner.

  • Responds quickly to questions and requests and responds to service inquiries politely and efficiently.

  • Demonstrate effective listening skills.

  • Relay necessary information to other team members regarding concerns or pertinent information.

  • Attention to detail in work, ability to spot errors and make corrections.

  • Must possess strong critical thinking, analytical and prioritization skills.

  • Learn, interpret, and apply procedures and processes.

  • Ability to work independently and in a team environment.
