The essential duties for this job include:

  • Independently handles a wide variety of situations that often cannot be brought to the immediate attention of a supervisor.

  • Answers the telephone, evaluates requests, answers questions, routes messages and/or serves as receptionist or front desk assistant.

  • Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments on computer as needed.

  • Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, travel and information.

  • Maintains records and inventories of materials, supplies and equipment.

  • Provides administrative support in an office and maintains a close and highly responsive relationship to the day-to-day activities of supervisors and staff.

  • Provides assistance to the public.

  • Receives, sorts, opens, evaluates content and distributes mail; as required may drive to deliver/pick up confidential or time sensitive correspondence.

  • Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or equipment and monitors contracts.

  • Performs other job responsibilities as assigned.

  • Administrative practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping and records management

  • Maintaining effective working relationships with others

  • The responsibilities associated with secretarial and office procedures to include the use of proper business telephone etiquette, internal communication strategies and use of basic office equipment

  • Protects sensitive and confidential information

Education

This job requires the following:

  • High School Grad or Equivalent in general high school studies

Work Experience

This job requires the following:

  • 4 years in Clerical, Secretarial, Admin Support -related activities

  • (Experience can be satisfied by fulltime or prorated parttime equivalent)

  • No supervisory experience required.

  • College education and /or relevant technical training may be substituted for experience on year per year basis.

Licenses and Certifications

The following Licenses and/or Certifications are required for this job:

  • Valid Driver's License

  • Safety Impact Certificate

Safety Impact certifications are not required at the time of application. As required, the Safety Impact certification will be issued by TxDOT at the time of hire .

Other Conditions:

  • This is a Safety Impact position by responsibilities. It will be subject to random drug testing.
