Position Summary

Provides clerical and administrative support to the Vice President for Student Services; the Director, K-12 Partnerships and Student Conduct, and the Dean for Entry & Enrollment Services. This position reports to the Executive Assistant.

Essential Functions

  • Support the Phi Theta Kappa leadership team in managing quarterly reports and membership activities related to the national program.

  • Support activities related to the college's Academic Review Policy.

  • Insure that specific information on the student portal is current with regard to important dates and timelines.

  • Answer telephones; resolve problems and respond to inquiries and requests for information about Student Services and general college policies and procedures; receive and refer visitors to appropriate staff and/or departments.

  • Support enrollment services functions by posting data in the college's ctc

Link student management system, and other clerical duties as needed.

  • Perform clerical support functions including keyboarding and complex word processing tasks; data entry; composing correspondence; filing; copying and assembling information.

  • Use spreadsheet and database software to develop and maintain records and produce reports.

  • Make travel arrangements for administrators and other staff.

  • Coordinate special projects.

  • Maintain confidentiality of student information and all department related records.

  • Schedule appointments and arrange meetings.

  • Other duties as assigned.

  • Perform related duties as assigned.


Minimum Qualifications

  • High school diploma or equivalent.

  • Clerical or office support experience.

  • Intermediate experience with word processing, database, and spreadsheet software.

Conditions of Employment

Terms of Employment

This is a part time hourly position scheduled to work varied hours up to 16 hours per week. The pay rate is $14.48 per hour. Flexibility in scheduling is required to meet department needs. A collective bargaining agreement exists and membership in the Washington Federation of State Employees or payment of a service fee may be required.

The Attorney General's Office is recruiting for a permanent full time Office Support Supervisor 2 in the Tacoma Division. This position is located in Tacoma, Washington. The primary client agency of the Social and Health Services Division is the Department of Social and Health Services (DSHS) and Health Care Authority (HCA). DSHS administers a variety of federally-and state-funded programs to protect the general public and assist those who are unable to provide for themselves. Programs include income and medical assistance, children's services, child support, behavioral health and recovery services, developmental disabilities, juvenile rehabilitation, alcohol and drug rehabilitation, vocational rehabilitation, nursing home regulation, adult protective services, home and community care services, and other related community social service program activities. The HCA workload includes advising and defending the various programs that the Health Care Authority administers, including the Medicaid program, the Public Employees Benefits program, and the implementation of the Affordable Care Act. Legal services provided to these programs include client advice as well as representation of the programs in legal challenges. Duties This position acts as liaison to AGO attorneys, professional staff, court staff, opposing counsel and guardian ad litems in assuring that case files and documents are ready and available as needed. It is responsible for the daily workflow of the Records Section, and supervises five Legal Office Assistant staff. Duties include, but are not limited to: Records Section: * Overall responsibility of the Tacoma SHS docketing operations. * Develops new work methods, procedures or strategies or modifies existing work methods to solve new or unusual problems that impact the section and/or the staff for whom they perform these services. * Maintains current and relevant knowledge of AGO docketing policies and procedures, CMS business rules and legal nomenclature as to the types of litigation performed in the SHS section. * As documents are received, determines how such documents should be processed within the division depending on time guidelines, upcoming court dates and the importance of the documents. Supervisory: * Supervise and evaluate two Legal Office Assistants in the Records Section and three Legal Office Assistants in the General Services Section, including assigning and scheduling work, approve leave requests, conduct performance evaluations and prepare yearly development plans; * Participates on interview panels for selection of new hires for both units; * Trains and/or schedules appropriate training for new staff; * Resolve problems that arise between supervised staff and persons served, both within and outside the section, and consult the supervising legal assistants and Administrative Office Manager as necessary. * Oversee quality control of all work in the sections. Qualifications High school graduation or equivalent and three years of clerical experience including one year of supervisory experience.
