Position Description
TheOffice Support Specialist 2position oversees, coordinates, and participates in administrative, clerical, and record-keeping activities within Metro Water Services (MWS). Current vacancies are in System Services and the Operations Division. The primary functions of the position will be data entry and report preparation utilizing various software programs. Other duties may include payroll, sorting mail, processing purchase requisitions, and other similar administrative activities. Additional positions may be filled from this recruitment.

Our employees work together to service more than 210,000 water and 216,000 sewer accounts, along with over 150,000 curbside waste collection customers. Typical Duties
System Services
Creates and closes work orders in Infor/Hansen/ City Works software system.
Performs quality assurance/quality control (QA/QC) for data entry of work orders and service requests using a variety of software programs.
Processes service requests for flow tests, new infrastructure acceptance, etc.
Runs weekly and monthly reports in Infor/Hansen/City Works.
Serves as backup for payroll, work order costing, and other data entry activities.
May sort and distribute mail.
Operations
Creates and closes Work Orders and Service Requests in Infor/Hansen/City Works software systems.
Tracks and records facility payroll.
Creates and distributes reports for the Operations management team.
Receives and records requests for conference room meeting scheduling.
Answers facility phone as needed.
Books travel arrangements as needed.
Takes minutes during meetings as needed.
Scans and indexes documents in the Document Manager software system.
Maintains accurate facility and personnel records.
Provides other clerical and administrative duties as required.
Processes and prepares invoices for approval (R-12).
Serves as the face of the facility by greeting visitors, receiving packages, and directing personnel during conference room events.
Minimum Qualifications
High School Diploma plus five (5) years of increasingly responsible clerical/administrative experience.
Additional education may be considered in lieu of experience.

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
Preferred Experience, Knowledge, Skills, and Abilities
Experience with data entry in enterprise-wide systems
Experience in processing service requests and work orders
Bilingual
