Position Overview
The Erosion and Stormwater Management Certification Program is growing and seeking a part-
time, academic year office support assistant. The program provides education on stormwater
management to professionals to keep the lakes and rivers of Minnesota clean. The program
trains as many as 3000 attendees each year through online and in-person events. The
administrative specialist will work with our existing administrative specialist and 2 other program
staff to manage attendee registration and reproduce class materials. As a small program this
person will have a variety of duties and work responsibilities.
Percent Time/Hours
This is a supplemental, hourly position from September - May each year. It is 20 hours per week.
Major Areas of Accountability
50% Process registrations for Erosion and Stormwater Management Certification Program
35% Coordinate and reproduce class materials
15% Manage website, phone, mailings, and other communications
About the Job
Duties/Responsibilities:
Process online and in-person registrations for Erosion and Stormwater Management
Certification training held throughout Minnesota year-round. Registrations are received via
fax, mail, and Destiny One Registration System (DORS) and includes using Canvas software
for managing online class attendee information.
Create and maintain course registration links throughout the year using DORS.
Manage program website, using Drupal, to create and update news, resources, class
schedules, brochures, and other pertinent program information.
Maintain workshop Access database, exam scores, and student records.
Create and update course brochures and flyers using InDesign software.
Print/Copy class materials for various in-person classes.
Collate class materials (books, supplemental documents, sign-In sheets, certificates) for
instructors.
Coordinate pick-up and drop-off of class materials with instructors.
Coordinate catering for various classes and functions.
Respond to email and telephone inquiries about the Erosion and Stormwater Management
Certification Program.
Bulk register attendees into the Canvas Learning Management System.
Assist online attendees in accessing their online classes, and trouble-shoot with course
attendees who are unable to access their online class.
Gather information from various reports.
Qualifications
Required Qualifications:
High School Diploma/GED and one year of general office experience. Training/education
may be substituted for some of the years' experience
Excellent oral and written communications skills
Proficiency in word processing, spreadsheets and database software with Microsoft Office
and Google applications (Microsoft Word, Excel, Google Docs, Sheets)
Must be able to lift 20 lbs.
Preferred Qualifications:
Demonstrated ability to work collaboratively
Demonstrated organizational and time management skills with attention to detail
Ability to effectively manage and prioritize multiple tasks with minimal supervision
Experience with website maintenance
Demonstrated ability to handle sensitive and/or confidential information
Experience using Access databases
Experience using Canvas Learning Management System
Demonstrated experience using InDesign software
